Under direct supervision, performs a variety of administrative support tasks for a specified unit/department, such as: greet and direct visitors, answer and direct calls; answer routine inquiries or provide routine forms/information; perform word processing of correspondence, forms, reports or other materials; process forms & information; perform data entry or maintain established spreadsheets; and establish and maintain files and records. Edits and proofreads documents to ensure accuracy.
Reception, Information and Inquiries:
- Following department protocol greets & directs patients/parents, internal staff & external visitors; accept, screen & route telephone calls.
- Answer routine inquiries or provide routine forms/information concerning activities and/or operations of department; follows through, as required, to meet routine needs of customers.
- Open and distribute incoming mail and prepare/process outgoing mail/packages.
Appointments and Meetings:
- Schedules routine appointments, interviews or meetings; exercises some discretion and judgment to best meet needs of department and individuals.
Correspondence, Reports & Documents:
- Performs a variety of routine assignments utilizing personal computer to, draft, edit, revise and print routine correspondence, documents, reports and other materials; enters data and maintains established files, spreadsheets or routine databases following clearly established procedures.
File/Records Maintenance:
- Establishes, maintains, processes, and/or updates files, records and other documents. Copies and/or duplicates materials as requested; prepare and transmit facsimiles.
- Proofreads all work to ensure accuracy and neatness.
Administrative Support Activities:
- May run various errands for the unit/department, may involve intra-campus travel integral to responsibilities of position.
- May be requested provide basic instruction and/or training to others in routine tasks and responsibilities of this position.
- Maintains own competencies by attending training sessions, as directed.
- Demonstrates knowledge of the population-specific differences and needs of patients in appropriate, specific populations from young children through adolescence and applies them to practice. Demonstrates cultural sensitivity in all interactions with patients/families and co-workers.
- Demonstrates support for the mission, values and goals of the organization through behaviors that are
consistent with Connecticut Children's Standards.
Education and/or Experience Required:
- Required: 1 to 3 years' experience directly related to the duties and responsibilities specified required, or equivalent.
Education and/or Experience Preferred:
- Preferred: High School Diploma, GED equivalent, or a higher level of education that would require the completion of high school.
