Administrative Assistant II
This position performs administrative support work involving disseminating information, preparing correspondence, and maintaining filing systems. Administrative Assistant II performs routine (Journey-level) administrative support work and technical program assistance work. Work is subject to review upon completion for conformance to establish procedures. Observes all applicable agency policies and procedures, including established leave, attendance policies, safety rules and regulations, and use of state and federal property. Works under moderate supervision with limited latitude for the use of initiative and independent judgment.
This position:
· Conducts business in accordance with the Consultation Policy and Procedure Manual (CPPM) and the OSHCON Program Resource Guide (OPRG).
· Monitors consultants’ reports, forms, and other documents to ensure consistency and accuracy and provides feedback to the consultants and the Team Manager.
· Monitors OSHCON South Team’s performance toward state and federal performance goals and quality requirements, and prepares reports for the team and team manager.
· Maintains files, records, and management systems.
· Actively communicates with field personnel and other administrative staff.
· Assists with training, planning, and execution of state agency and federal programs.
· Performs other duties as assigned.
Qualifications
This position requires:
· Graduation from a standard senior high school or equivalent.
· Plus: One year of full-time experience in office practices and administrative procedures.
· College hours in coursework relevant to the position may be substituted for experience on a year-for-year basis.
Additional job details:
· Ability to implement administrative systems and procedures and to interpret rules, regulations, policies and procedures.
Preferences for this position include:
· Experience in clerical or administrative support work.
This position requires demonstrated knowledge of:
· State laws, rules, procedures, and regulations relevant to job requirements.
· Agency administrative policies and procedures.
· Office practices and administrative procedures.
· Business or program terminology, spelling, punctuation, grammar, typing formats, and word processing techniques.
