HWI has a fantastic opportunity to join our Recruitment Team as a Talent Acquisition Coordinator.
SummaryThe Talent Acquisition Coordinator is responsible for providing integral administration and general support in the recruitment and onboarding of HarbisonWalker International’s employees. This role is responsible for performing the administrative duties in the HCM system associated with employee transactions (hiring, terminations, transfers, demographic changes, etc.); performing functions that ensure data integrity; managing the Employee Referral Program, and accurate processing and reporting of HCM data. The Talent Acquisition Coordinator is responsible for ensuring continued adherence to Human Resource operations
Responsibilities
- Oversee the compliance, monitoring, and maintenance of preemployment processes, including, background checks and drug screening, I-9 completion, filing, and E-Verify to ensure qualification for work. Serving as lead on employee file maintenance in accordance with regulatory and internal standards which includes receiving and indexing documentation related to employees, compiling files for records requests. Converting candidates to employees in the HCM system (Oracle), creating employee accounts in the timekeeping system (UKG), ensuring data imports between the systems, and communicating status with hiring managers and other members of the Human Resources team
- Serve as subject matter expert in regards to HWI’s background system (Hire Right) by maintaining vendor relationships, managing upgrades, and communicating any changes with members of the Human Resources team. This will also include accurately validating and preparing Hire Right invoices for payment.
- Process HCM personnel actions and maintaining confidentiality of sensitive information, such as promotions, transfers, separations, etc.
- Manage the Employee Referral Program to ensure proper payment, eligibility, etc.
- Provide administrative support to the Talent Acquisition Team, to include, but not limited to scheduling interviews, creating and extending offer letters, posting requisitions on job boards, etc.
- The Talent Acquisition Coordinator requires zero (0) – two (2) years of experience working in a technical customer service or Human Resource role.
- Bachelor’s Degree in Human Resources, Business, Management or related field; related experience may substitute for education.
- Possess excellent time management and follow up skills
- Possess excellent organizational and prioritization skills, with excellent attention to detail
- Possess working knowledge of Human Resources and HCM concepts, practices, and procedures with the ability to use in varied situations as it pertains to the departmental focus
- Ability to be creative, exercise initiatives and drive process improvements (technical and non-technical) to enhance quality and increase productivity
- Ability to handle, produce, and maintain subject matters requiring privacy and sensitivity confidentially and discreetly
- Ability to consistently maintain a professional and positive demeanor and exceptional customer service
- Requires strong interpersonal and communications skills and the ability to work effectively in a team and individual environment
- Intermediate-level proficiency with Microsoft Word and Excel (functions such as VLOOKUP, SUMIF, Pivot Table, etc.)
- Physical Activity: Requires more than 2/3 of time sitting and talking or hearing; 1/3 to 2/3 of time standing, walking, using hands/fingers to handle and/or feel and reaching with hands and arms; less than 1/3 of time climbing or balancing and stooping, kneeling, crouching or crawling.
- Lifting: Requires lifting up to 10 pounds less than 1/3 of time.
- Vision: Requires accurate close, distance and color vision, and the ability to focus.
