Sports Direct Malaysia is currently looking for Administrative Executive/Senior Executive to join our growing team.
Sports Direct Malaysia currently operates a total of 40 retail stores domestically and manages a proprietary SportsDirect.com e-commerce site for domestic and regional fulfillment. Job Description
The Administration Executive/Senior Executive will oversee and coordinate all administrative operations for HQ, Customer Service Office, Warehouse, and outlets. This role covers front desk support, office and facilities management, procurement, license management, vendor coordination, and documentation control to ensure smooth and efficient day-to-day operations.
Front Desk & Guest Relations
- Verify appointments, inform the Person-in-Charge, and escort guests to meeting rooms
- Handle all incoming and outgoing calls courteously and professionally, directing inquiries to the correct personnel
Mail, Courier & Delivery Coordination
- Receive, log, sort, and distribute incoming and outgoing mails, documents, parcels, and courier items
- Liaise with courier service providers for dispatch and follow up on uncollected items
- Manage cargo lift access for deliveries and coordinate with logistics and suppliers
Office & Facilities Management
- Oversee daily operations for pantry, office equipment, printers, water systems, cleaning services, pest control, landscaping, waste disposal, plants, and washrooms
- Monitor and report maintenance issues to building management, facilities, or IT
- Maintain cleaner schedules for HQ and outlets
- Manage security guard services, CCTV, alarm systems, and access control (issue, activate, terminate access cards)
Licenses & Compliance
- Manage applications, renewals, and terminations for business, signboard, and partition licenses for all outlets
- Manage DBKL license application and submission
Procurement & Inventory Control
- Source, review, and compare quotations for non-trade items
- Monitor and replenish stock for stationery, name cards, letterheads, F&B items, printing materials, first aid kits, and other office supplies
- Maintain stock records and master files
- Raise PR/PO/JR manually or via Smarterm system
- Conduct annual price reviews and negotiate with suppliers
Document & Record Management
- Maintain proper filing systems (electronic and hard copy) for agreements, invoices, delivery orders, service records, and supplier documentation
- Coordinate business card artwork, ordering, and distribution
Operational & Outlet Support
- Arrange travel bookings when required
- Support outlet openings and closures including utilities setup, RO water installation, and supplies procurement
- Manage electricity applications, renewals, cancellations, and top-ups for outlets
- Maintain SOPP documentation and manage lockers and master keys
- Undertake any ad-hoc assignments as instructed by superiors
Qualifications
- Candidates must possess at least a Bachelor’s Degree in Business Administration, Management, or a related field
- Minimum 3-5 years of experience in an administrative support role, with a proven ability to manage multiple tasks and priorities effectively
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office management software and tools
- Strong organizational skills and attention to detail, with the ability to maintain accuracy while working under pressure
- Excellent communication skills in English and Malay, both written and verbal, with a professional demeanor and the ability to interact effectively with various stakeholders
- Ability to work independently and as part of a team, demonstrating flexibility and adaptability to changing needs
- A proactive approach to problem-solving, with a willingness to take initiative and contribute to team success
- Position level (Executive/Senior Executive) will be offered based on candidate’s experience and qualifications
- Must willing to work at Persiaran Lagoon, Sunway City, Petaling Jaya, Selangor
- Able to start immediately will be an added advantage
