Position Summary:

We are seeking a highly motivated and detail-oriented Staff Accountant to join our finance team. The successful candidate will manage and streamline the medical directorship invoicing process, oversee billing, payment reconciliations, and help drive efficiency through process improvements. This position will require experience with PowerBI, Intacct, and advanced Excel, as well as the ability to collaborate across departments and ensure accuracy in all accounting and financial reporting processes.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES: The following duties and responsibilities generally reflect the expectations of this position but are not intended to be all inclusive, other duties may be assigned:

  • Medical Directorship Invoicing & Process Improvement:
    Oversee the medical directorship invoicing process, from contract maintenance to invoicing, payment allocation, collections, and termination. Develop and implement process improvements using PowerBI, Intacct, and advanced Excel to ensure efficiency and accuracy at every step.
  • Billing & Collections:
    Prepare and record miscellaneous client account billing, track overdue invoices, and ensure proper collection follow-ups in a timely manner.
  • Reporting & Analytics:
    Prepare and deliver Medical Directorship, Physician, and Clinic hour reports to leadership. Develop dashboards and visualizations to provide insight into key performance indicators (KPIs) and financial trends.
  • Allowance & Reconciliation:
    Develop an accurate process to record Medical Directorship and Misc billing allowances based on historical collections and other relevant data. Apply payments, reconcile facility accounts, and initiate payments to physicians.
  • Invoice & Payment Inquiries:
    Ensure timely responses to facility and employee inquiries regarding invoices, payments, and any discrepancies. Provide excellent customer service in addressing concerns and ensuring resolution.
  • Patient Refunds & Tax Compliance:
    Process patient refunds and ensure all necessary documentation is on file. Handle the escheatment process and file required tax forms with federal, state, and local agencies.
  • Bank Reconciliation & Cash Management:
    Reconcile transactions with company bank accounts, ensure all transactions are accurately posted to the general ledger, and perform daily cash reconciliation and tie out with our third-party biller.
  • Mail Processing:
    Manage incoming physical mail, determining appropriate routing on a weekly basis.
  • Fixed Asset Accounting:
    Record all fixed asset purchases, disposals, and monthly depreciation entries in compliance with accounting standards.
  • Other:
    Assist accounting teams on various projects and other general accounting and month-end close duties as assigned.

 

EDUCATION AND/OR CERTIFICATIONS

  • BS degree in Accounting, Finance or related field.
  • 2+ years of related experience in accounting or a similar role.

 

SKILLS AND QUALIFICATIONS

  • Proven working experience in a fast-paced environment.
  • Solid understanding of accrual accounting and GAAP.
  • Experience with accounts receivable, allowance calculations, and reconciliations.
  • Advanced Excel skills.
  • Proficiency with Sage Intacct preferred, handling general ledger, AR Reconciliations, reporting, customer set up, and journal entries.
  • Experience with Power BI or similar business intelligence/data visualization tools; ability to create dashboards, reports, and derive insights from data.
  • Excellent attention to detail, accuracy, and organizational skills.
  • Strong communication skills, both written and verbal.
  • Excellent organizational and problem-solving skills.
  • Ability to manage multiple priorities and meet shifting deadlines with minimal supervision.
