About the Department
Job Summary
Responsibilities
Serve as the initial point of contact for all students, phone, e-mail and walk-in inquiries. Responds independently to inquiries from prospective, new, continuing and alumni students. Resolves mostly routine and some complex inquiries.
Monitor the Dean of Students listserv: answer and forward inquiries as needed.
Assist with coordinating the UPass program.
Order office supplies for the DOS and Admissions suite.
Take lead in organizing main office areas, lounges, and supply and copy rooms for the Dean of Students and Admissions suite.
Create and disseminate office communications including emails, newsletters/digests, and surveys.
Assist Dean of Students staff with logistics and administrative tasks for signature events (Orientation, Graduation, Washington Week, Student Recognition Ceremony, etc.).
Manage and coordinate process for certification of academic credentials for graduates obtaining state licensures.
Performs administrative tasks pursuant to academic advising (course selection, waivers, pass/fail requests, substitutions, aid or billing, withdrawals, graduation applications, name change requests, and leaves and reinstatements) and case management administrative functions as needed.
Oversee digital database management and records maintenance.
Manage the Dean of Students, Diversity, and Inclusion’s calendar, front desk schedule coordination, and overall scheduling for the DOS office.
Assist with financial tasks, including running regular financial reports, GEMS reconciliation, and student reimbursements; Process relevant students payments in Service Now.
Manages student room reservations and coordinate as needed with facilities and event management team.
Develops positive and active working relationships with internal and external constituents/vendors including but not limited to the Registrar, the Bursar, CTA, UChicago GRAD, and many others to create synergies across departments related to programming, resolution of student issues, and other matters of common interest.
Assists with recruiting, training, scheduling, and day-to-day management of student staff.
Assists with organizing or leading programs to build community within the DOS Team, and larger Crown community (Mixers, Open Houses, Team Retreats, etc.).
Provides administrative support for office leadership. Stays informed of activities relating to programs and initiatives, apprising the leader of issues when deemed necessary. Coordinates information flow from leader's office.
Prepare special reports and summaries, assists in managing daily operation of the office, and may assist in developing administrative goals and policies.
Coordinates special projects as directed by the leader. Prepares write ups for recommendations for operational and administrative problems. Prepares financial and/or administrative reports.
Performs other related work as needed.
Minimum Qualifications
Education:
Minimum requirements include vocational training, apprenticeships or the equivalent experience in related field (not typically required to have a four-year degree).

Education:
Associate's or Bachelor’s degree.
Experience:
One or more years of administrative experience in higher education, academic support, or a closely related environment is strongly preferred.
Experience with PeopleSoft or similar course management systems.
Preferred Competencies

Ability to effectively communicate with faculty, graduate students, and various administrative offices at all levels in the University.
