Role Overview
We are seeking a team member to advance the growth of Interventional Psychiatry (IP) services at LifeStance, including Transcranial Magnetic Stimulation (TMS), Spravato, and Ketamine therapies. This role serves a dual role as a research study coordinator and as the administrative support team member for the Interventional Psychiatry specialty services team and initiatives. Involves contributing to clinical research studies, maintaining regulatory and compliance databases, and providing day-to-day operations of IP research services. The role’s priority is to drive clinical and operational excellence by supporting research, maintaining regulatory standards, and optimizing workflows across IP services.

Compensation: $23.25 - 25.25/hour

Location: Hybrid - Moore, OK office and remote
Responsibilities:
Clinical research project coordinator (50% of time)
Perform daily operations and provide study-related services under the direction of the Physician. Such functions include but are not limited to screening and monitoring patients pre, during and post treatments
Coordinate with interventional administrative and nursing teams on study-related tasks.
Maintain study logs to ensure compliance and accuracy.
Secure and organize subject charts in compliance with data privacy standards.
Submit and document timely charting requirements for each subject.
Comply with DEA regulations regarding controlled substances for study subjects, as delegated by the program physician.
Prepare and submit accurate and compliant regulatory documentation.
Enter participant data into databases and run queries and reports as needed.
Represent LifeStance in scheduled study team meetings with Project Management and the Yale team, conveying status and providing study updates and metrics.
Specialty Services growth strategy implementation and execution (50% of the time)
Review compliance databases and reporting processes for TMS and Spravato by coordinating with local operations teams to gather necessary compliance documentation.
Maintain equipment inventory and provider rosters by connecting with local teams monthly to retrieve updated information on locations, providers, TMS technicians, and nurses.
Act as the primary contact to facilitate TMS equipment and repairs.
Advise on clinic setup, scheduling, nursing workflows, and patient experience enhancement, including supply management and techniques to assist patients with side effects.
Train new Spravato team members on AMD documentation and medical necessity charting.
Support compliance with Spravato REMS reporting requirements across clinical teams.
Establish drug ordering accounts and train team members on how to handle controlled substances, inventory, waste procedures and associated compliance regulations.
Monitor Spravato and TMS clinical team chats, respond to inquiries within clinical practice, and escalate issues to leadership as needed.
Update the Spravato and TMS websites to reflect the most current clinical and administrative SOPs, guidelines, and training materials.
Serve as the first point of contact for clinical teams engaging with Revenue Cycle Management on prior authorization queries; escalate as needed.
Execute discrete projects that contribute to the expansion and quality improvement of Interventional Psychiatry services at LifeStance.
Skills & Experience:
Requires a Medical Assistant certification or nursing license (LPN or RN).
Successful completion (within 30 days of hire) and maintenance of Good Clinical Practice Training with copy of certificate- link
At least 4 years of experience working in a clinical capacity for interventional psychiatry services
Experience with or competency in administrative services including MS office and data entry.
Strong organizational and follow through skills and attention to detail
Strong communication skills, both written and verbal.
Ability to work independently and as a team member
