OVERALL JOB PURPOSE

As a(n) Member Records Supervisor  at Sandia Area, you are responsible for delivering excellent service while maintaining personal accountability in your actions and behaviors. Reporting directly to the Loan Servicing Director, the Member Records Supervisor  is responsible for supervising the Member Records department and enforces Credit Union policies and procedures. Maintains records, lending files, lien filing and recording for the Credit Union.

DUTIES AND RESPONSIBILITIES

Department Operational Support

  • Supervises the Member Records department. This includes hiring, training, evaluating, scheduling hours, work assignments, adjusting wages, controlling quality and costs, and disciplining department staff.

  •  Ensures that the Member Records staff is trained and cross-trained in all phases of their jobs and proactively supports lending departments and branch personnel.

  • Ensures Loan Servicing Director is kept fully informed on performance and development of member records staff and all of factors influencing the department.

Transaction & Account Support

  • Oversees the compliance and processing of all member records functions, including the processing of credit life, disability, debt protection and GAP claims, lien releases, etc.Manages lien perfection and release on all secured collateral.

  • Ensures that member records are archived appropriately for short-term and labeled correctly for long-term storage.

  • Provides loan pay off reports in a manner that supports the recapture of loans.

  • Processes all DMV related paperwork.

  • Ensures proper retention of IRA files to include the creation and upkeep of the file documents.

  • Ensures reconciliation of DMV related GLs to ensure accurate amounts are collected for lien filing.

  • Demonstrate a commitment to continuous learning, professional development, and staying informed on industry trends and best practices.

  • Willing to undergo background and credit checks as required by federal and state regulations.

  • Understand and comply with all policies, procedures, and legal guidelines, including adherence to the Bank Secrecy Act (BSA), Office of Foreign Assets Control (OFAC), and other applicable financial regulations.

 

Qualifications

KNOWLEDGE, SKILLS, AND ABILITIES

  • Expertise in processing MVD documentation and lien filing with a requisite understanding of financial institution operations.

  • Knowledge of general numerical filing systems.

  • Requires excellent analytical skills.

  • Proficient computer skills, especially word processing and spreadsheet programs.

  • High level of organizational skills.

  • Ability to adjust priorities to meet deadlines

  • Exceptional time management and organizational skills, with the ability to prioritize tasks, manage multiple responsibilities, and adapt to a fast-paced environment.

  • Proactive in seeking professional growth, embracing both formal and informal development opportunities, and demonstrating adaptability to new responsibilities.

  • Team-oriented with a strong collaborative mindset, actively supporting team members and contributing to a positive and high-performing environment.

  • Proficient in Microsoft Office, including Outlook, Word, Excel, and PowerPoint.

  • Ability to perform essential functions, including the ability to lift up to 40 lbs. and traverse a ladder.

EDUCATION AND EXPERIENCE REQUIREMENTS

  • HSD or GED

    • Directly related experience, in addition to minimum years required, may be considered as a substitution.

  • Three (3)year(s) of applicable experience required.

  • General knowledge of credit unions and lending processes desired.
