We are seeking a highly organized, poised, and proactive Executive Assistant to support our Executive Team in Chicago. This hybrid role requires on-site presence at least three days per week and is pivotal in ensuring the Executive Team’s day-to-day operations run smoothly and efficiently. You’ll operate at the intersection of technology, leadership, and execution—optimizing the Executive Team’s time and advancing the company’s strategic goals.

In addition to executive support, this role will play a key part in supporting the Chicago office, helping to create a welcoming, inclusive, and professional culture, and facilitating executive-level meetings when needed. Many of our leaders are remote, so prior experience supporting distributed executive teams and navigating virtual collaboration tools is essential. The ideal candidate brings a calm demeanor, strong executive presence, and a team-oriented mindset to a fast-paced, high-impact environment.

 

  • Calendar Management: Coordinate and manage multiple calendars.
  • Travel Coordination: Book and manage international and domestic travel, including flights, accommodations, and ground transportation.
  • Meeting & Event Support: Organize meetings, prepare agendas, take minutes, and ensure seamless execution of internal and external events.
  • Communication & Correspondence: Draft professional emails, presentations, and reports; act as a liaison between the Executive Team and internal/external stakeholders, including board members, investors, and leadership.
  • Confidential Information Handling: Manage sensitive documents and communications with the utmost discretion.
  • Gatekeeping: Prioritize and filter requests for the Executive Team time and attention.
  • Expense Management: Prepare and accurately reconcile expense reports.
  • Project Support: Lead or support special projects, including OKR tracking, product reviews, offsite planning, and follow-ups.
  • Board & Investor Coordination: Coordinate board meetings, investor updates, and company-wide communications.
  • Presentation & Briefing Materials: Prepare executive-level presentations, dashboards, and briefing documents using tools like PowerPoint.
  • Office Support: Provide general administrative support including file organization, supply management, and phone coverage.
  • Experience: 7+ years supporting C-level executives in tech or high-growth environments, with strong experience booking international travel. Prior experience supporting remote or distributed executive teams is highly preferred.
  • Education: A Bachelor’s degree or commensurate experience; an MBA or background in project management is a plus.
  • Technical Proficiency: Skilled in Microsoft Outlook, including managing multiple calendars. Proficient in Microsoft Teams, Excel, and PowerPoint. Comfortable using Google Workspace and Zoom for communication and collaboration.
  • Soft Skills: Maintains composure under pressure and focuses on solutions. Exceptionally organized with strong attention to detail. Excellent interpersonal and communication skills. Known for being a collaborative team player with a proactive and adaptable approach.
  • AI Fluency: Demonstrated ability to leverage AI tools to enhance productivity, streamline workflows, and support data-informed task execution.
  • AI Knowledge: Familiarity with AI-enhanced platforms is a plus.
  • AI Use: Solid understanding of AI capabilities and limitations, including ethical considerations, is expected.
  • Professionalism: Exhibits executive presence and discretion in all interactions.
  • Industry Knowledge: A strong understanding of professional services is a plus.

 

The salary range for this position takes into consideration a variety of factors, including but not limited to skill sets, level of experience, applicable office location, training, licensure and certifications, and other business and organizational needs. The new hire salary range displays the minimum and maximum salary targets for this position across all US locations, and the range has not been adjusted for any specific state differentials. It is not typical for a candidate to be hired at or near the top of the range for their role, and compensation decisions are dependent on the unique facts and circumstances regarding each candidate. A reasonable estimate of the current salary range for this position is $85,000 to $125,000. Please note that the salary range posted reflects the base salary only and does not include benefits or any potential equity or variable bonus programs.
