Description

The Facilities Support Specialist is responsible for a combination of administrative support, courier services, and physical security administration. The ideal candidate is organized, detail-oriented, and capable of working independently while representing DNCU with professionalism during inter-branch deliveries, as well as staff and vendor interactions.


Salary: 

The salary range for this position is $19.32 - $24.15 an hour. New hires are typically brought into the organization at a rate between the range minimum and the range maximum, depending on qualifications, internal equity, and the budgeted amount for the role. 


Essential Functions & Responsibilities:

Facilities Administration
• Coordinate facility maintenance requests and track resolution status.
• Maintain inventory of office and building supplies, reorder as necessary.
• Assist with vendor scheduling and service logs for routine building maintenance (e.g., HVAC, janitorial, landscaping, safety    inspection logs, etc.).
• Assist in organizing office moves, furniture setups, and minor repairs.
• Support AVP of Facilities in invoice processing, and project coordination.
• Coordinate tracking and compliance with record retention policies.


Courier Duties
• Perform scheduled daily/weekly courier runs between branches and off-site locations, on a rotation with Facilities Technicians.
• Transport internal mail, sensitive credit union documents, and small equipment or supplies securely and efficiently.
• Ensure confidentiality and chain of custody for sensitive items.
• Maintain vehicle logs, perform basic vehicle inspections, report and schedule maintenance needs.


Physical Security Administration
• Assist in the maintenance of access control systems, including issuing, deactivating, and auditing employee badges and key fobs.
• Monitor and assist with updates to branch security systems (e.g., alarms, video surveillance, panic buttons).
• Serve as a liaison with physical security vendors and alarm monitoring services.
• Track and report incidents or security concerns to Facilities Management or Security Officer.
• Support regular security audits and compliance documentation.

Requirements

Experience: 

Two or more years of experience in facilities, administrative support, or operations preferred.


Education:

A high school education or GED required; associate degree preferred. Valid driver's license with clean driving record required.


Interpersonal Skills: 

Work involves much personal contact with others inside and/or outside the organization for the purpose of first-level conflict resolution, building relationships, and soliciting cooperation. Discussions involve a higher degree of confidentiality and discretion, requiring diplomacy and tact in communication.


Other Skills:

Strong organizational and time management skills.
Confidentiality and discretion with sensitive documents and systems.
Working knowledge of Microsoft Office Suite and facility/work order systems.
Comfortable with the use of and learning security and access control platforms.
Must maintain a class D driver's license or higher to operate a company vehicle.
Must maintain a clean driving record.


Physical Requirements: 

Ability to lift 50 pounds and perform physical tasks related to courier and facility work. Occasional lifting, bending, and carrying required.


Work Environment: 

  • Combination of office, branch, and driving environments.
  • Frequent travel between credit union locations using company vehicle.
  • May be required to work occasional evenings or weekends during special projects or emergencies, as determined by management.
