Position Summary: 

InterDigital is seeking a highly organized and detail-oriented department operations and administrative support professional to join our Licensing department. Reporting directly to VP, Associate General Counsel Licensing, this individual contributor role plays a vital part in supporting the day-to-day administrative, operational, and logistical needs of the department.  The successful candidate will serve as a central coordination point for scheduling, travel arrangements, meeting support, project coordination, internal communications, and departmental process optimization—ultimately helping the Licensing function run more efficiently and effectively. 

Key Responsibilities: 

Administrative Support: 

  • Provide high-level administrative support the Chief Licensing Officer and VP, Associate General Counsel Licensing and broader support to the department team. 

  • Manage calendars, schedule internal and external meetings, and coordinate video conferencing logistics. 

  • Make complex domestic and international travel arrangements, prepare detailed itineraries, and process expense reports (Concur).  

  • Draft, proofread, and format documents, presentations (PowerPoint), reports, memos, and other internal/external communications. 

  • Organize and maintain digital and physical filing systems for departmental records and documentation. 

  • Support new hire onboarding within the department in collaboration with HR and Information Systems (IT). 

  • Occasional support across time zones and coordination with international offices may be required. 

Operational & Departmental Coordination: 

  • Coordinate and support department-wide meetings, events, offsites, and town halls, including agenda development, logistics, catering, and technical setup. 

  • Track department projects, deliverables, and meeting follow-ups to ensure timely execution. 

  • Serve as the department’s liaison for facilities, IT, and vendor requests and support. 

  • Initiate and track purchase orders, submit invoices, and collaborate with Finance on budget tracking and expense reconciliation. 

  • Monitor office supply needs and manage departmental subscriptions, tools, and memberships. 

Process & Efficiency Support: 

  • Assist in implementing process improvements and operational best practices within the Licensing function. 

  • Schedule and document project meetings, track action items, and ensure progress on key deliverables. 

  • Maintain project documentation, templates, and dashboards (e.g., in SharePoint or Excel). 

  • Support the VP and department leads with light project coordination and reporting. 

  • Utilize Microsoft Office tools (Teams, SharePoint, Excel, PowerPoint, Outlook) to streamline workflows and communication. 

  • Identify risks or delays and escalate them appropriately to keep workflows on track. 

  • Help collect data and feedback for inclusion in regular department status updates and leadership reporting. 

  • Coordinate with cross-functional teams in Legal, Finance, and Admin groups across different office locations and time zones. 

Qualifications: 

  • Associate’s or Bachelor’s degree preferred, or equivalent combination of education and administrative experience. 

  • 5+ years of administrative and/or operational support experience, ideally in a corporate, technology, or legal/licensing environment. 

  • High proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams, SharePoint). 

  • Experience coordinating travel, expense reports, department meetings, and vendor communications. 

  • Strong organizational, multitasking, and time management skills with the ability to adjust to shifting priorities. 

  • Discretion and professionalism in handling confidential information. 

  • Excellent written and verbal communication skills. 

  • Strong attention to detail, initiative, and problem-solving ability. 

  • Experience working in a global or multi-location team environment is a plus. 

Preferred: 

  • Familiarity with legal operations or budget tracking is a plus. 

  • Comfort working in a fast-paced, collaborative setting. 

  • Proactive, approachable, and dependable. 

Location: Conshohocken, PA with flexibility for a hybrid work arrangement
