About the Role:

The Client Onboarding Specialist plays a critical role in delivering a seamless and high-touch experience for clients transitioning into Baird Trust. Acting as the primary liaison between Financial Advisors and Baird Trust’s subject matter experts—including Portfolio Managers, Trust Officers, and Trust Strategists—this individual ensures clear, consistent communication and coordination throughout the onboarding process.

From the initial discovery phase through to asset transfer and relationship handoff, the Client Onboarding Specialist is responsible for orchestrating the efforts of the relationship team to ensure that client expectations are met with precision and care.

The Impact You’ll Make:

  • Serve as the central point of contact for Financial Advisors and internal stakeholders during the onboarding process.

  • Coordinate communication among the assigned Portfolio Manager, Trust Officer, and Trust Strategist to ensure alignment and timely execution.

  • Manage the onboarding timeline and milestones to ensure a smooth transition of assets and services.

  • Deliver a white-glove onboarding experience by providing proactive, personalized service that anticipates client needs and exceeds expectations.

  • Act as a steward of Baird Trust’s service standards, ensuring every interaction reflects our commitment to excellence and attention to detail.

  • Educate Financial Advisors on Baird Trust’s capabilities and help them identify opportunities within their client base.

  • Collaborate with the Director of Growth to support Financial Advisor development and engagement.

  • Partner with the Director of Client and Financial Advisor Experience to uphold and enhance service standards.

  • Delivers exceptional client service characterized by expertise, empathy, patience, efficiency, and courtesy.

  • Assist in building a formal onboarding strategy.

  • Work closely with Baird Trust technology team to identify opportunities for efficiency and enhancement.

  • Formulate and assist in the implementation of onboarding policies and practices.

  • Provides consultation and advice to leadership regarding onboarding best practices.

What You’ll Bring to Baird:

  • Bachelor’s degree in business administration or other related discipline, or the equivalent combination of education, training, or related work experience.

  • Strong project management and organizational skills.

  • Excellent interpersonal and communication abilities.

  • 2-4 years of experience in financial services, wealth management, or trust services preferred.

  • Client-focused mindset with a commitment to delivering exceptional, high-touch service.

  • Ability to work collaboratively across teams and manage multiple priorities.
