About This Opportunity 

Reporting to the Manager, Learning Space, the Senior Learning Space Officer is responsible for ensuring that UQ's central learning spaces are maintained, operational, and fit for purpose. This vital role involves the day-to-day coordination of maintenance and oversight of space usage. The successful candidate will work closely with a wide range of stakeholders to ensure all spaces are safe, functional, and ready for the UQ community, while also handling minor upgrades, urgent repairs, and the ongoing enhancement of learning environments.

Key responsibilities will include: 

Operational Management

  • Conduct regular inspections and coordinate the resolution of maintenance or urgent issues to ensure learning spaces are safe and functional. You will be responsible for timely follow-up and escalating major incidents to the appropriate teams.

Booking and Stakeholder Management

  • Manage the external and internal booking process for centrally controlled learning spaces, including assessing requests, managing billing, and building effective relationships with a wide range of stakeholders to support initiatives across UQ sites.

Project and Process Improvement

  • Support the Manager with space improvement projects and contribute to the review and update of operational procedures and manuals. You will also maintain accurate records to support effective reporting and future planning.

Team Collaboration

  • Act as a representative for the Learning Space team on working parties and projects. You will also provide support to both the Learning Space and Timetable Services teams as needed.

About You  

  • Degree/qualifications with relevant experience in administration, facility management, or a related field. You should have proven experience in resource management, logistics, or operational coordination, including the use of databases and information systems.

  • Strong organizational skills and excellent attention to detail, with a proven ability to manage competing priorities, meet deadlines, and adapt to a dynamic environment. You will also need strong analytical and problem-solving skills to interpret data and provide evidence-based advice.

  • Excellent interpersonal, written, and verbal communication skills, with a demonstrated ability to build and maintain productive relationships with a diverse range of stakeholders. You must be able to work independently with minimal supervision while also contributing effectively to a collaborative team.

  • A strong commitment to high-quality customer service and continuous improvement. Proficiency with student administration systems and reporting tools is essential, or a demonstrated capacity to quickly develop this knowledge. Familiarity with university policies is a plus.
