Engineering Coordinator

POSITION SUMMARY:

The Engineering Coordinator role is responsible for providing comprehensive administrative and operational support to the engineering department. This position ensures the smooth execution of engineering processes, documentation, reporting, and communication across departments. The ideal candidate is detail-oriented, highly organized, and proficient in enterprise systems such as Syteline, Cognos, Power BI, and Microsoft Office Suite.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

 

Daily Tasks:

  • Process Engineering Change Requests (ECRs) and Engineering Change Notices (ECNs), ensuring accuracy and proper routing.
  • Enter part numbers for the stainless-steel product line.

 

Weekly Tasks:

  • Run job transaction reports and update engineering tracking reports.
  • Maintain and update the engineering project tracking spreadsheet.

 

Monthly Tasks:

  • Generate and analyze engineering rework statistics using Cognos and Excel.
  • Distribute rework reports to engineering managers and track cost justifications.
  • Maintain the obsolete inventory report and track year-to-date usage.
  • Prepare PowerPoint presentations summarizing:
    • Engineering rework trends
    • Finance top priorities and cost savings
    • Engineering hours per machine shipped and per dollar sold
    • Direct vs. indirect labor hours
    • ECN reason codes and ECR status
    • Engineering on-time release performance

 

Quarterly Tasks:

  • Review and update cost reduction initiatives and track issued quantities.

 

Annual Tasks:

  • Compile department statistics and prepare year-end data for engineering kickoff meetings.
  • Support legal documentation for R&D tax credits, including project scope, hours, and order data.

 

Additional Responsibilities:

  • Load Bills of Materials (BOMs) and vendor data into Syteline.
  • Investigate projects with lower-than-expected profit margins
  • Assist with part number creation for PPM.
  • Collaborate with the Solution Center team to lead and coordinate engineering project testing activities.
  • Oversee data collection and perform detailed analysis to support the development of new equipment solutions.
  • Create comprehensive documentation for the assembly and disassembly processes of new mechanical systems.
  • Travel to customer sites alongside engineering, technicians, or the sales team members to gather field data and assess equipment performance.
  • Provide backup support to engineers during high-demand periods.
  • Other assigned duties

Qualifications

POSITION REQUIREMENTS: 

  • Associate’s or Bachelor’s degree in Business Administration, Engineering Technology, or related field preferred.
  • 2+ years of administrative experience in an engineering or manufacturing environment.
  • Proficiency in ERP systems (preferably Syteline), Microsoft Excel, PowerPoint, and Power BI.
  • Strong analytical, organizational, and communication skills.
  • Ability to manage multiple priorities and meet deadlines with minimal supervision.
  • Requires occasional travel (less than 5%) to gather field data and assess equipment performance.

  • Time Management: Manages daily, weekly, monthly, and annual tasks efficiently, meeting strict deadlines.

  • Cross-Functional Collaboration: Works closely with product managers, accounting, production control, and suppliers.
  • Written Communication: Prepares clear and professional emails, reports, and presentations.
  • Customer Service Orientation: Interfaces with internal and external stakeholders to ensure smooth order and project flow.
  • Process Improvement: Identifies and addresses issues such as low project margins or outdated inventory.
  • Proactive Support: Assists engineers with BOM loading and part number creation during peak periods.

 

PHYSICAL DEMANDS

  • Sitting: Prolonged periods of sitting at a desk while working on a computer.
  • Manual Dexterity: Frequent use of hands and fingers for typing, data entry, and handling documents.
  • Visual Acuity: Regular use of a computer screen and reading printed and digital documents; must be able to see and interpret data accurately.
  • Lifting: Occasionally may need to lift or move office supplies, files, or small equipment (typically under 25 lbs).
  • Mobility: Occasional walking to other departments or production areas for coordination or document delivery.
  • Speaking and Hearing: Clear communication with team members, managers, and vendors via phone, video calls, and in-person meetings

 

WORK ENVIRONMENT:

  • Office-based with occasional interaction on the production floor.
