Job Summary

The Benefits Administrator is responsible for managing and administering employee benefit programs including medical, dental, vision, supplemental insurance plans, wellness initiatives, retirement plans, leave policies, and other benefit offerings. This role provides exceptional employee support while also performing regular benefits reconciliation and audits to maintain data accuracy, verify eligibility, and resolve discrepancies between payroll and carrier records.


Major Responsibilities/Activities

  • Administer employee benefits programs, including health, dental, vision, disability, life insurance, and retirement plans.
  • Reconcile monthly benefit invoices to ensure alignment between payroll deductions and carrier enrollments; investigate and resolve discrepancies promptly.
  • Conduct regular benefit audits, including enrollment accuracy and data integrity, to ensure compliance with internal policies and regulatory requirements.
  • Administer and support employee savings plans, including Health Savings Accounts (HSA), Flexible Spending Accounts (FSA), and the 401(k) retirement plan.
  • Manage time off and sick leave plan accruals and ensure accurate deposits.
  • Support the planning and execution of Wellness programs and initiatives, including challenges, events, and employee engagement activities.
  • Complete Stop Loss Carrier claims audit forms and provide required documentation.
  • Oversee Leave of Absence benefit billing processes to ensure timely and accurate processing.
  • Serve as the primary contact for employees regarding benefits inquiries, claims issues, and policy clarifications.
  • Maintain accurate records of benefits enrollments, changes, and terminations within the company HRIS.
  • Coordinate Open Enrollment processes, including communication, documentation, and  employee support.
  • Conduct benefits orientation for new hires and provide ongoing benefits education and resources for employees.
  • Coordinate benefit enrollments and changes for new hires, life events, and terminations in a timely and accurate manner. 
  • Maintain accurate benefit records and assist with  required reporting, including ACA and other compliance-related filings.
  • Ensure compliance with federal, state, and local regulations, including ACA, ERISA, COBRA and HIPAA, and FMLA.
  • Utilize feedback processes and surveys to measure benefits program effectiveness and drive improvements in engagement. 
  • Support HR-related special projects from beginning to end; may include research, communication, development of processes, forms, policies, vendor or product selection, etc.
  • Perform other duties as assigned. 
Requirements

  

Required Education, Skills, & Experience

  • Bachelor’s degree preferred, ideally in a field such as Human Resources, Psychology, Business, or a related field. 
  • 3 – 5 years of experience directly administering employee benefits, including benefits reconciliation and audits. In lieu of a degree, 8 years of relevant experience is required. 
  • Experience with both fully funded and self-insured medical plans is required.
  • PHR or SPHR certification preferred. 
  • Strong knowledge of federal, state, and local employment and benefits laws, including ACA, ERISA, COBRA, HIPAA, and FMLA, with the ability to interpret and apply them effectively.
  • Mastery in Microsoft Office products, especially Excel, and experience with HRIS or benefits administration platforms. 
  • Experience in Paylocity preferred. 
  • Exceptional organizational skills, with the ability to manage time, prioritize work effectively, meet deadlines, and remain productive amid frequent interruptions and with limited supervision.
  • Strong attention to detail, accuracy, and deadlines. 
  • Excellent customer service and communication skills, with the ability to present benefits information clearly to employees at all levels.
  • Ability to adapt to changes in work environment, procedures, priorities, and job duties.
  • Proficiency in English is necessary for job-related communication, including understanding policies, writing correspondence, and engaging with colleagues or clients.

Working Environment

  • The office environment is a controlled indoor setting with minimal exposure to adverse conditions. 
  • Noise levels in the office are typically moderate and consistent with a standard office setting. 
  • For employees approved to work in a hybrid or remote setting, a quiet, private workspace free from significant distractions is required to ensure productivity during work hours. 
  • A reliable internet connection is required for hybrid/remote work. EMS|MC will provide necessary equipment, including a computer, monitor, keyboard, mouse and headset. 

Physical Requirements:

  • Sitting: frequent and prolonged periods of sitting at a desk while working on a computer. 
  • Communication: frequent and prolonged periods of speaking, listening, reading, and writing. 
  • Fine motor skills: frequent use of hands for typing and operating a computer mouse. 
  • Movement: occasional walking and climbing of stairs; limited bending, kneeling, lifting, and carrying of office-related items.  
  • Travel: must be able to travel occasionally to attend required company meetings.
