The Opportunity:

Senior Executive Assistant to support key Leaders at WSP. You will be responsible for providing a high level of support to Executives, while maintaining company-wide best practices in responding to internal and external inquiries, developing and maintaining excellent relations with all employees, clients, and other stakeholders, and embodying the values and guiding principles of WSP.  Working very closely with our Executives, you are a highly organized planner with strong communication skills.

This position will be based in either Calgary or Edmonton.

What you can expect to do here:

  • Assist the Executives with their daily activities as required;
  • Act as a brand ambassador for the WSP brand and demonstrate WSP guiding principles;
  • Coordinate on executive projects and support client management activities;
  • Coordinate and manage calendars across multiple time-zones, for internal and external meetings and conference calls, including room arrangements, catering, audio-visual;
  • Arrange and coordinate Leadership and face-to-face meetings;
  • Arrange travel and accommodation through our corporate travel provider;
  • Organize and submit corporate credit card and personal expenses;
  • Coordinate national communications and distribute accordingly;
  • Participate in leadership team meetings, develop minutes and support as required;
  • Maintain meeting minutes and distribute accordingly;
  • Organize social functions as required;
  • Provide backup support to other Executive Assistants, if required;
  • Work with Legal to ensure all documents requiring signature are done in a timely manner;
  • Occasional overtime and travel required;
  • Other duties as assigned/required.

 

What you’ll bring to WSP:

  • Post-secondary diploma in business administration or a related discipline is preferable;
  • 10+ years of professional experience in a similarly sized organization (10,000+ employees); Professional Services sector experience is an asset;
  • 5+ years of experience directly supporting corporate executives;
  • Ability to multitask, prioritize and effectively meet deadlines;
  • Consistently high-quality, accurate work, with attention to detail;
  • Mature judgement and discretion in handling confidential and sensitive information and situations;
  • Strong organizational skills, ability to work with minimal supervision, self-starter and resourceful;
  • Advanced proficiency in Microsoft 365 ecosystem including SharePoint; Oracle ERP proficiency is an asset;
  • Fluency in English is required; fluency in French is an asset.
