Job Title: Freight Brokerage Assistant

Department: Contract Freight

FLSA: Non-Exempt

General Function:

Supports Brokerage Coordinators and Brokerage Specialist with the daily operations within brokerage area. Performs administrative tasks to include data entry, check calls and handling daily paperwork.

Reporting Relations:

Accountable and Reports to: Director of Brokerage.

Positions that Report to you: None

Primary Duties and Responsibilities:

  • Reports to work when scheduled and on time. Adheres to company policies and departmental guidelines.

  • Assists the department in general office functions including but not limited to: answering incoming calls, performs customer service, makes copies, compiles and distributes paperwork, and data entry.

  • Develops relationships with shippers and/or truck lines to ensure proper communication and customer service takes place.

  • Organize daily paperwork such as invoices and outbound-inbound paperwork.

  • Utilizes computer systems to enter loads, track, and follow up with driver and customer on active moves. Answers questions, reports shipping errors, tracks freight activity from pick-up to delivery, and reports up related problems to achieve desired customer satisfaction.

  • Processes billing exceptions and freight claims including lumper fees, detention, shortages, and damaged product to ensure proper freight charges. Assits third party billing for all brokerage activity before it is invoiced. Maintains brokerage customer files with appropriate documentation.

  • Works with Metafile to ensure accuracy of ship points and pallet counts. Monitors PDI accounts payable records to keep track of freight income. Assists in moving SKU’s.

  • Other duties as assigned by management.

Knowledge, Skills, Abilities, and Worker Characteristics:

  • Good understanding of transportation and logistics

  • Ability to meet deadlines and deal with interruptions

  • Basic computer skills, 10 key, administrative skills

  • General math, administrative, organizational, attention to detail and follow through ability.

  • Good computer knowledge.

  • Must possess excellent verbal communication, phone etiquette, and interpersonal skills.

  • Customer service relation abilities

Education and Experience:

  • High school education or equivalent required. College education in related field preferred.

  • 1 year minimum of logistical experience preferred.

Physical Requirements:

  • This job is considered sedentary to light in nature according to the Department of Labor Weight Classifications with primary functions being sedentary in nature. Frequent handling, grasping, pinching, full reaching motions occur, listening, talking, hearing, fingering of paper, files and use of computer requiring finger dexterity.

Working Conditions:

  • Office (climate controlled)

  • Busy atmosphere.

Equipment Used to Perform Job:

  • TMS systems, WMS system, Samsara, Microsoft Office, photocopier, office telephone system.

Contacts:

  • Has daily contact with transportation and office personnel, along with current cliental on customer service bases.
