THE DEPARTMENT
The Finance department is overseen by the Chief Financial Officer. Our mission is to both protect and grow the business. The department consists of three groups: (1) Treasury (including Revenue Accounting and Payroll), (2) Forecasting, Planning & Analysis (including Cost Accounting and Budgeting) and (3) Accounting and Tax (including Financial Accounting, Tax, Accounts Payable, and Oracle Financial System Support). The department is responsible for providing strategic insight and supporting our strategic imperatives through several critical processes including the monthly, quarterly, and annual publishing of financial results, preparing travel agent commissions, processing vendor invoices, credit card processing, tax and accounting compliance, treasury, cost accounting, completing operational transactions, and financial analysis.
THE ROLE OF A MANAGER
In the business hierarchy, managers will be found most of the time working within a specific department of a large company. Managers help set the “how” in implementation and responsible for guiding the “who” in implementation for their department or team. Managers can also be Individual Contributors not managing a team, but a process.
Job responsibilities of a manager include:
- Following the direction of upper management and the business strategy
- Communicating policy, information and strategy to their associates
- Collaborating and communicating with outside sales, vendors and internal teams
- Scheduling associate tasks, following budgets, handling payroll
- Developing plans to execute on projects, priorities and strategic initiatives at their team’s level and communicating and delegating tasks to members of their team
- Overseeing the day-to-day tasks of the department and supervisors, handling escalations and monitoring key performance metrics
- Hire and train new associates or oversee training plans
- Support and mentor current associates
- Provide performance evaluations
- Approve disciplinary action, promotions
- Partner with upper management on setting team and department goals
- Suggest budget items
THE POSITION
The Accounts Payable Manager will manage day to day activities in the organization’s accounts payable function, will report to the Director, Accounting and Tax and is responsible for the following results:
- Ensuring timely and accurate payments to vendors by leading the team in the processing of both corporate and tour-related payments. This may include participating in the invoice processing function during peak times, or as needed
- Ensuring accurate information is available in the financial systems by identifying and resolving any issues related to systems
- Auditing and analyzing tour disbursements to uncover and explain variances between original costing estimates and actual monies paid, and ensure the accuracy of tour postings to the General Ledger, and the resulting tour series profitability
- Supporting our Costing process by measuring actual costs by departure/tour for comparison to projected costs
- Supporting an environment that includes effective business controls, fiduciary restraint, and objective assessments of financial information
- Create and maintain a professional team environment within the Accounts Payable department.
- Facilitating open and effective communication with internal and external business partners.
- Resolving conflicts by contacting vendors and tour directors by various means with billing questions and discrepancies
- Serve as a business partner to other department managers
- Reconcile Balance Sheet accounts related to the accounts payable function and assist with Year End Financial Audit as needed
- Ensure the department is operating efficiently and cost-effectively through leveraging of technology Support leadership to develop and maintain the company Expense Reimbursement policy and manage the reimbursement process
- Works with Treasury to optimize payment methods
- Maintaining current knowledge about the activities of the organization, and the impact of operational decisions on the company’s financial performance
- Supporting the company’s long-term financial planning cycle
- Share ideas for process improvements that can improve departmental flexibility and reduce administrative costs
- Contributing to a team effort by accomplishing related results or projects as needed
- Coaching and developing associates by assisting with various accounting issues, questions, and reporting as well as enforcing company policies and procedures
- Perform assigned duties that may be assigned outside of the job description to support the overall finance team. The position is one that places a premium on one’s ability to adjust their daily and monthly schedule as the role evolves.
- Personal accountability, trustworthiness and professional communication are paramount in this role.

EDUCATION AND EXPERIENCE
The preferred candidate will hold a Bachelor’s degree (or similar) in accounting or a related field; or six years of related experience and experience managing a team; or equivalent combination of education and experience.

- Experience working with multiple currencies and foreign entities a plus
- Travel and hospitality experience a plus
