Description
We’re looking for someone who brings good vibes and a proactive mindset to join our People Team as People Coordinator. Our People Team plays a vital role in shaping the employee experience, and you'll be the backbone of our HR operations, ensuring smooth processes and a brilliant experience for our employees from onboarding to offboarding—and everything in between.You'll also be critical to the delivery of our Learning & Development strategy, driving a high-performance culture at Bede.
This role is ideal for someone who cares about providing exceptional People support, can build strong relationships, loves a well-organised spreadsheet, is system savvy, and doesn't get flustered by data or changing priorities. What you'll be doing
- Coordinating core People processes, including but not limited to Joiners, Movers and Leavers.
- Coordinating accurate monthly payroll data from multiple sources.
- Preparing contracts and change letters, including basic contractual calculations (e.g. pro-rata salaries and annual leave entitlements).
- Drafting and issuing all manner of formal correspondence.
- Superuser for our People Systems and ensuring they are up to date and optimised – embracing automation where possible.
- Maintaining Bede’s colleague files.
- Supporting Line Managers with the onboarding journey for new starters and movers, including hosting Welcome to Bede meetings.
- Managing the People Team Inbox, responding as the first point of contact for such things as absence, policy questions, and reference requests, escalating queries as and when required.
- Note taking.
- Upkeeping the HR Operations SharePoint site.
- Supporting in the administration of colleague benefits.
- Maintaining our Learning Management System (LMS), ensuring it is user-friendly and up to date.
- Supporting our L&D Manager with arranging internal training sessions, booking rooms, inviting attendees, issuing pre-course work, preparing handouts, confirming attendance and collating feedback using our LMS.
- Acting as the initial point of contact for L&D bookings, answering queries and generating reports as required.
- Ad hoc administrative and system support for our Culture & Talent Acquisition Partner.
- Updating and documenting processes on behalf of the People Team.
- Assisting any member of the People Team with the administration and coordination of strategic HR projects.
- Key stakeholder in preparing People Team data submissions for company audit requirements (internal & external).
- Assisting in regular Management Information (MI) data collation.
- Raising purchase orders and invoices from third-party suppliers.
- Assisting in regular and ad hoc data requests from around the business.
- Any other required duties that are deemed reasonable to the role.
What we are looking for
- Some experience in HR and/or Learning & Development (desirable, but not essential if you’re keen to learn).
- Confident using Microsoft Office, especially Excel for basic data analysis and reporting.
- Comfortable working with multiple systems day-to-day (HRIS/LMS experience is a bonus).
- Strong attention to detail and accuracy in your work.
- Able to handle sensitive information with discretion and professionalism.
- Clear and confident communicator, both in writing and face-to-face.
- Skilled at building strong working relationships.
- Well organised, able to follow routines, but also adapt when priorities change.
- Happy to work to deadlines and see tasks through to completion.
- Takes ownership of your work and is proactive about your own performance and development.
