Position Summary

The Contracts and Compliance Coordinator will support the company’s legal, risk, and operational teams in ensuring enterprise-wide compliance with contractual, licensing, insurance, permitting, and corporate filing requirements. In this role, you will manage the review of customer and vendor contracts, oversee vendor insurance and W-9 compliance, job or other permits, and maintain corporate registrations and Secretary of State filings across multiple jurisdictions.

This position requires strong coordination skills, a working knowledge of construction operations and corporate compliance, and the ability to communicate effectively with both internal stakeholders and external regulatory agencies.

Essential Duties and Responsibilities

  • Review customer and subcontractor/vendor contracts to identify risks and ensure compliance with company insurance, indemnity, and licensing standards.
  • Coordinate with Legal and Risk Management to escalate and revise unfavorable contract terms.
  • Maintain accurate records of all executed contracts, amendments, and associated risk notes.
  • Collect, validate, and track certificates of insurance (COIs) and W-9s for all vendors and subcontractors.
  • Monitor expiration dates, coverage limits, and endorsements to ensure ongoing compliance.
  • Communicate directly with vendors and brokers to obtain updated documents and resolve deficiencies.
  • Coordinate permit applications and approvals for all active projects; work with city, county, and state agencies as needed.
  • Maintain a digital filing system for licenses and permits, accessible to operations teams.
  • Ensure all company entities are in good standing with Secretary of State offices across jurisdictions.
  • File annual reports, business renewals, and related documentation on a timely basis.
  • Coordinate with the company’s Registered Agent service provider to monitor service of process, entity status changes, and compliance deadlines.
  • Maintain accurate records of corporate registrations, EINs, and state-issued IDs.
  • Perform other related duties as assigned to ensure efficient and effective processes, completion of projects and smooth operation of department.

Qualifications

Required Skills, Knowledge, and Abilities

  • Meticulous attention to detail and high-level organizational skills
  • Ability to interpret legal language and insurance requirements
  • Effective communication across legal, operations, finance, and field teams
  • Self-motivated with a strong sense of accountability and time management
  • Comfortable handling confidential and time-sensitive information
  • Occasional travel may be required for permitting, agency interaction, or internal compliance meetings
  • Collaboration with Legal, Risk, and Corporate Governance teams is integral to this role
  • Familiarity with insurance compliance, contract review, and licensing requirements
  • Ability to track deadlines across numerous jurisdictions and vendors

Education and Experience

  • 4–6 years of experience in a legal, compliance, or construction operations environment.
  • Proficiency with Microsoft Office Suite and document management platforms
  • Experience supporting a publicly traded or enterprise-scale construction firm, preferred
  • Bachelor’s degree in Business, Legal Studies, Construction Management, or a related field, preferred
  • Experience using enterprise systems such as Procore, COINs, SAP, or similar, preferred
