SWBC is seeking a talented individual to provide administrative support to the senior leadership of our Mortgage division with the highest degree of confidentiality, accuracy, quality, and efficiency which includes both internal and external business functions.

Essential duties include the following:

  • Provides administrative support to the senior leadership in our Mortgage division with the highest degree of confidentiality, accuracy, quality and efficiency to include: maintaining the calendar for corporate meetings; making internal and external appointments; coordinating schedules; preparing meeting agendas; and coordinating food and beverages for various meetings as necessary.
  • Receives and screens communications including mail and telephone messages, and provides independent judgement to determine those that require priority attention to include preparing correspondence or returning calls.
  • Develops detailed event plans, timelines, and budgets, ensuring all logistical aspects are covered, such as venue selection, catering, transportation, and audiovisual needs for Presidents Club and Sales Rally.  Venue and Contract negotiations for multiple events.
  • Composes various personal and business correspondence and documents.
  • Coordinates and schedules domestic and international travel arrangements as required and prepares monthly expense and monthly mileage reports.
  • Receives and interacts with incoming visitors.
  • Interacts with all SWBC departments and divisions to facilitate communications on joint projects, and prioritizes and communicates the status of Senior Management's projects and requests.
  • Classifies, stores, retrieves, and keeps all records of correspondence, reports, receipts, or other current information; and maintains and manages permanent files pertinent to the activities.
  • Performs all other duties as assigned.

Serious candidates will possess the minimum qualifications:

  • Associate’s Degree in Business, Communications, or related field of study from an accredited college or university or equivalent work experience.
  • Minimum of eight (8) years of experience in a high-level executive administrative support role or related experience required.
  • Experience in mortgage, business development, and/or community and public relations preferred.
  • Proficient with Microsoft Office products such as Word, Excel, PowerPoint and Teams.
  • Proficient with on-line computer communication operations.
  • Experience with event planning software preferred.
  • Excellent interpersonal, organizational, and telephone etiquette skills.
  • Strong communication skills, both verbally and in writing, with all levels of individuals.
  • Self-starter, be able to work independently, and exercise sound judgment in dealing with highly confidential information.
  • Work under sometimes stressful conditions while maintaining professionalism and enthusiasm.
  • Travel locally to attend and/or host scheduled or spontaneous sporting or other various events.
  • Sit for long periods of time performing sedentary activities.
