Summary
The Senior Leave and Accommodation Administrator is responsible for end-to-end administration of employee leave of absence and workplace accommodation programs, including but not limited to the Family and Medical Leave Act (FMLA), state-specific paid leave programs, short- and long-term disability, and the Americans with Disabilities Act (ADA). This role plays a critical part in delivering a leave experience that is not only compliant and consistent, but also empathetic and supportive for both employees and managers. The Administrator oversees vendor relationships related to leave and disability programs, ensures adherence to service level agreements (SLAs), and manages reporting and data analysis to inform decision-making. As the company continues to grow, this role contributes to process optimization, documentation, and training initiatives. Additionally, the Administrator provides backup support for core benefits administration and helping to drive compliance, operational efficiency, and data-informed improvements.Responsibilities
Compensation: Starting at $83,000 - 101,750 per year less statutory deductions

Travel: Up to 2-3 trips per year for client visits, training, and company events.
Working Hours: Any US time zone (flexible).
Work Location: This position is remote. You must work from a location within the United States with consistent internet service.
Leave Administration
Manage the full lifecycle of employee leaves, including FMLA, state-mandated paid leave, parental, personal, and disability-related programs.
Ensure timely, accurate communication, eligibility determination, documentation, and return-to-work coordination for all leave cases across corporate and contact center populations.
Maintain compliant leave tracking in HRIS systems and coordinate with payroll and benefits teams to ensure accurate processing.
Proactively resolve issues related to overlapping leaves, benefit continuation, or compliance concerns.
Stay current on federal, state, and local leave laws (e.g., CFRA, FLI, PFL, FAMLI) and collaborate with legal and compliance teams to implement necessary updates.
Ensure all employee communications and practices align with applicable regulations and internal policies.
ADA and Workplace Accommodation
Lead the interactive process under the ADA, engaging with employees, healthcare providers, and managers to assess and implement reasonable accommodations.
Maintain thorough, confidential documentation throughout the accommodation process.
Educate and support managers on accommodation practices and maintaining compliance and confidentiality.
Vendor and Carrier Management
Serve as the primary point of contact for external vendors (e.g., leave administrators, disability carriers, benefits platforms).
Monitor service delivery and case escalations, holding vendors accountable to SLAs and employee experience standards.
Partner with vendors to enhance documentation, streamline communication, and escalate process improvements.
Employee and Manager Support
Provide compassionate and clear guidance to employees and managers on leave and accommodation policies, eligibility, and process navigation.
Offer ongoing support and education to reduce confusion and ensure consistent application of policies.
Escalate complex or high-impact cases to appropriate internal partners, including legal, compliance, or senior HR leadership.
Provide backup support to the Benefits team during peak periods or staff absences, including employee inquiries, enrollments, and coordination with vendors.
Reporting, Analytics, and Process Improvement
Maintain accurate records and generate reports to identify trends, forecast leave-related needs, and support resourcing decisions.
Recommend and implement process improvements to HRIS tools and workflows related to leave and accommodation tracking.
Develop and maintain training materials and job aids; deliver training sessions to support employee and manager readiness.
Ensure all documentation reflects current legal requirements and internal policy standards.
Required & Desired Skills
Required Skills and Experience
- 3+ years of experience administering employee leaves of absence and workplace accommodations in a multi-state environment.
- 2+ years of experience supporting or administering employee benefits, including health, dental, vision, and retirement plans preferred.
- In-depth knowledge of FMLA, ADA, and state-specific leave regulations (e.g., CFRA, NJ FLI, NY PFL).
- Experience managing external leave and disability vendors, including service level oversight.
- Strong interpersonal and communication skills, with the ability to handle sensitive situations with empathy and clarity.
- Proficiency in HRIS and case tracking systems; experience with reporting and analytics preferred.
- Excellent attention to detail, organization, and a proactive approach to compliance and continuous improvement.
