JOB SUMMARY:Within the context of a client service culture and in accordance with the established mission, vision, values, objectives and policies of Vancouver Coastal Health, the Administrative Coordinator works in a team-based environment in conjunction with the Managers, Program Supervisor and clerical staff and is charged with coordinating the clerical and administrative operations of Public Health, Community & Family Health and supervising the work activities of designated staff. Duties include the planning and coordination of clerical and administrative activities/services, assisting the Program Managers and Program Supervisor with administrative activities and optimal use of resources, coordinating clerical staffing and scheduling activities, developing and instructing staff in the use of new protocols/procedures and equipment, facility management and preparing reports based on compiled financial and statistical information using word-processing and spreadsheet software packages. QUALIFICATIONS:QUALIFICATIONSEducation & Experience Diploma in Business Administration, plus five (5) years’ recent related experience including one (1) year supervisory experience, or an equivalent combination of education, training and experience.Valid BC Driver’s License and access to a personal vehicle for business-related purposes. Knowledge, Skills & AbilitiesApplies excellent time management skills to prioritize and complete assignments in a manner that optimizes departmental effectiveness and contributes to organizational success. Exercises considerable judgment, tact and discretion in preparing, disclosing and handling information of a confidential and/or sensitive nature.Demonstrated ability to lead. Ability to supervise.Communicates in a clear and understandable manner (both verbally and in writing) and demonstrates effective interpersonal skills. Considerable knowledge of current business office management, methods and procedures, including knowledge of financial statements and the ability to monitor and understand budget reports. Ability to keyboard 6000 keystrokes per minute.Employs expertise in the use of desktop computer applications and computer systems to record data, process transactions and complete a variety of documents and presentations. Ability to make decisions and effectively communicate applicable policies and procedures. Demonstrated knowledge and experience in public health services environment and working with multiple collective agreements.Ability to operate related equipment including applicable software applications.Physical ability to perform the duties of the position.The hours of work including days off and work area may be subject to change consistent with operational requirements and the provision of the Collective Agreement and applicable statutes.
