We currently have a Project Administrator opportunity for talented and creative people to be part of our team and share our values and passion.  We are looking for motivated, multi-faceted technically inclined coordinators who enjoy working on a wide variety of tasks, are quick to learn, and are keen to make a significant contribution to a successful and growing company. OVERVIEW OF RESPONSIBILITIES:

  • Ensure all information within the documentation is correct, up-to-date, and accurate.
  • Review and update project-related documents and circulate them to internal and external teams as required.
  • Copy, scan, and store all documentation associated with the assigned project.
  • Maintain confidentiality around all sensitive information.
  • Provide backup support and assistance to Managers, Project Managers, and Project Coordinators when required.
  • Schedule, attend, contribute, and take meeting minutes in operational meetings including project turn over meetings from estimation team
  • Prepares Project Close-out documentation including O&M Manuals in both hard copy binders and electronic formats when required.
  • Perform data system entries such as setting up purchase orders for subcontractors, suppliers, and manufacturers, setting up work orders, and maintaining spreadsheets as required to assist project coordinator
  • Perform daily check ins with technicians
  • Assigning and removing technicians from projects as required
  • Assisting labour manager with scheduling requirements
  • Keeping training records up to date and trackable
  • Creating tool requests for technicians and tracking tool crib rentals
  • Assisting project coordinator with labour forecasting
  • Assembling safety boards for jobsites

QUALIFICATIONS AND EXPERIENCE:

  • 2+ years of administrative experience working in an office environment. Construction industry experience considered an asset.  
  • Strong working knowledge across Microsoft Office products including Outlook, Word, Excel, PowerPoint, and MS Teams
  • Strong attention to detail and organizational skills coupled with strong reading and writing skills.
  • Clear and effective communication skills with the ability to develop long-lasting and sustainable productive working relationships with colleagues and external stakeholders.
  • Driven individual with the ability to be adaptable and pivot when required.
  • Resourceful individual with strong problem-solving skills. Capable of managing multiple tasks and priorities simultaneously
  • Energetic individual who works effectively within a team, but also on their own initiative.
  • Ability to pivot with urgent requests that arise.
