LEGAL ASSISTANT (Banking & Finance Department) - Calgary, AB (Contract Position)

Job Summary

We are seeking an entry-level Legal Assistant to fulfill an eighteen (18) month maternity leave contract, ending approximately in February 2027. Contract term dates will be determined upon fulfillment of the role. Depending on business needs at the time, there may be opportunity for extension or permanent employment. The successful candidate will independently manage the daily activities of their lawyers in their Banking & Finance practices and provide support to department colleagues. The candidate will have a strong work ethic, be collaborative, professional, adaptable, positive and interested in their work.

Work Environment

Standard hours of work are from 8:00 a.m. to 4:00 p.m. Occasional pre-authorized overtime may be required to meet client needs. Hybrid remote work arrangements are available with requirements as per business needs for onsite office support. The successful candidate must live in or around Calgary, AB and be able to commute to the office as often as required. While this is a hybrid role, the majority of the work may be onsite.

Fasken Calgary has a mandatory minimum requirement of three (3) days in office and up to two (2) days remote, work permitting, including Thursday weekly as a common anchor day. In-office requirements are subject to change, based on business needs as determined by the Firm’s Management.

Primary Responsibilities

  • Handling all administrative duties such as email and calendar management, coordinating meetings, making travel arrangements, etc.;
  • Preparing and maintaining a bring-forward system, as well as providing appropriate reminders.
  • Under legal professional supervision, preparing legal documents and correspondence according to precedents and/or instructions (drafting letters, revising draft documents, and preparing document comparisons);
  • Transcribing digital dictation, as applicable;
  • Entering time dockets;
  • Liaising with Billing Coordinators for the monthly production of accounts;
  • Ensuring all physical and electronic filing is organized and up to date on a regular basis;
  • Delegating tasks to, and coordinating with, other administrative departments;
  • Providing backup coverage in the absence of other assistants;
  • Other duties, as assigned, such as reception coverage from time to time.

Required Knowledge and Experience

  • Completion of a post-secondary Legal Assistant course, paired with the completion of a practicum placement is required.
  • Experience or exposure with Real Estate or Banking law is considered an asset.
  • In-depth understanding of business and legal terminology.
  • Solid computer and typing skills; proficiency in Microsoft 365, Excel, Power Point, Adobe Pro, digital dictation, iManage DMS, etc.

Reporting Structure

  • This role reports to the Manager, Human Resources with team oversight from the Paralegal and Legal Assistant Team Lead.
