Position Summary:
The Corporate Scanning Assistant provides administrative and operational support to the Scanning Manager and Scanning Specialist to ensure accuracy and efficiency in pricing, promotions, signage, and scanning systems across all store locations. This role plays a key part in maintaining effective communication with stores, supporting scanning technologies, assisting in data entry and validation, and coordinating various tasks related to signage, shelf tags, and coupon management.
Key Responsibilities:
- Pricing and Coupon Support
- Assist with validating store-level pricing and coupon discrepancies.
- Help build and track coupon offers (eCoupons, paper, and wine promotions) under direction.
- Utilize internal systems (e.g., Retalix, LOC, SVT Loyalty app) to research pricing issues.
- Promotional and Signage Support
- Assist with formatting and updating Master Sign files and promotional signage.
- Support the rollout and communication of in-store and ecommerce promotions.
- Coordinate sign proofing and updates in collaboration with the Scanning Specialist.
- Tag and Vestcom Coordination
- Support day-to-day operations of the shelf tag portal, including UPC verification and tracking.
- Assist with resolving printing or delivery issues related to tags.
- Help maintain tag inventories and validate Vestcom invoice details.
- Communication and Store-Level Support
- Act as a secondary point of contact for store inquiries regarding pricing, signage, and scanning tools.
- Distribute weekly and monthly scanning calendars, promotional sheets, and updates.
- Provide basic troubleshooting support for Zebra devices and store systems.
- ESL (Electronic Shelf Label) Transition Support
- Assist with preparing ESL training materials, documentation, and process improvements.
- Help track store transitions and support needs during implementations.
- Supplies and Ordering Assistance
- Help manage inventory of signage and scanning supplies; coordinate orders and delivery.
- Maintain records of supply usage and support invoice validation.
- Administrative Support and Meeting Coordination
- Support preparation and logistics for scanning department meetings and updates.
- Assist in preparing project updates, documentation, and audit checklists.
- Ad Proofing and Audits
- Assist in reviewing ad proofs and signage reports to identify errors.
- Support store audit processes by verifying shelf talkers and signage consistency.
- Process Improvement & Innovation
- Assist with documenting and implementing scanning-related process improvements.
- Provide research support for new tools, technologies, and workflow enhancements.
Qualifications:
- High school diploma or equivalent; associate degree preferred.
- 1–2 years of administrative, retail, or operations support experience preferred.
- Strong attention to detail with excellent organizational and communication skills.
- Proficient in Microsoft Office Suite (especially Excel, Outlook).
- Ability to learn and navigate internal systems (e.g., Retalix, LOC, Vestcom).
- Ability to manage multiple priorities in a fast-paced environment.
