POSITION TITLE: General Secretary 2 – 12 Month - 237
DEPARTMENT/LOCATION: Parents as Teachers / Millcreek Center
HOURS OF WORK: 4-5 hours/day (flexible)
STATUS: Classified – Non-Exempt, 20 hrs./week
POSITION SUMMARY: This position is responsible for providing a variety of secretarial support to assigned administrators and departments.
This position is expected to compile, coordinate, and distribute a wide variety of records and reports.
This position reports to assigned administrator.
Primary Duties/Responsibilities:
- Compilation of data from an extensive variety of electronic sources for the preparation of reports, making recommendations; and/or preparing information for assigned administrator.
- Monitors activities on behalf of assigned administrator for the purpose of achieving goals and meeting target dates in compliance with established guidelines and regulatory requirements.
- Researches a variety of topics for the purpose of providing information and/or recommendations that address a variety of administrative requirements.
- Schedules projects, functions and/or program components for the purpose of completing activities and/or delivering services in an apt fashion.
- Communicates with Parents as Teachers families and community representatives both in person and through email/phone - sharing program information and collecting information as needed.
- Creates Parents as Teachers informational materials using basic graphics programs as assigned.
- Perform other duties as assigned.
Education And Experience Requirements:
- High school diploma or equivalent required.
- Two years of office experience preferred.
Required Knowledge, Skills And Abilities:
- Excellent verbal, written and listening communication skills.
- Ability to organize and prioritize multiple projects simultaneously.
- High degree of confidentiality, motivation, and responsibility.
- Demonstrated ability in analyzing, compiling, and organizing data.
- Ability to work independently with minimal supervision in a fast-paced work environment.
- Highly collaborative team player.
- Proficiency with Microsoft Office (Word, Outlook, etc.).
- Ability to self-initiate areas of opportunity, make recommendations for improvement, and follow up as necessary to achieve desired results.
- Proficient in using online databases for data input of Parents as Teachers information once trained by program coordinator.
- Basic knowledge of graphics programs (Canva, Publisher, Word, etc.) to create flyers or other promotional materials for the program or staff.
- Ability to communicate in person with parents, children, and community representatives about the Parents as Teachers program, schedule and overall goals.
Physical Requirements:
This position requires the performance of light work including the ability to move objects weighing 10 pounds or less. The position must be able to discern and prepare data to communicate information with parents, staff, and students. The position requires occasionally moving between buildings and at times remaining in a stationary position.
The position is performed in a generally hazard free environment and a clean atmosphere.
