The Division of Student Life at the University of Tennessee, Knoxville invites applications for Administrative Support Associate - LDA in the Student Counseling Center. Join a team of other administrative assistants and an office manager, to provide admin support to a multi-disciplinary team of clinicians providing high quality, short-term individual and group therapy services at a thriving flagship university.
This non-exempt, year-round, full-time, limited duration staff position is part of the Student Counseling Center, the university’s primary facility for personal counseling, psychotherapy, and mental health outreach and consultation services. The mission is to promote the psychological, educational, and social well-being of the students at the University of Tennessee and to help prepare them to be productive members of a global society. The Administrative Support Assistant II assists the clinical and administration staff in the Student Counseling Center by acting as receptionist for students coming to the center to access services and completing other support activities as appropriate to ensure smooth operation of the center.
Administrative Support Assistant II will provide assistance to the clinical and administrative staff in the Student Counseling Center.
- Answer phone calls
- Assist students, parents, and other university staff with questions
- Check students in for appointments and schedule follow-up sessions
- Monitor department email account and correspond with students and parents
- Maintain staff schedules both by assisting in making the schedule and by rescheduling students and other meetings as needed
- Maintaining department calendar such as updating rooms reservations
- Make photocopies
- Distribute mail and take messages; Monitor office supplies and maintain front office area.
- Provide input on improvement initiatives (such as scheduling, drop-in services, etc.)
- Complete other occasional special projects such as creating fliers for specialized therapy groups
Required Qualification
- Education: High School Diploma or GED
- Experience: 1 yr providing administrative support in an office setting
- Knowledge, Skills, Abilities: Ability to multi-task and maintain a calm demeanor in a high-stress, high-pace work environment; Interpersonal skills appropriate for interacting with individuals in acute distress; Ability to operate multi-line phone system; Ability to learn and use electronic medical record and scheduling programs.
Preferred Qualifications
- Education: Bachelor’s Degree
- Experience: Experience providing administrative support specifically in a medical office or counseling center; Experience working in higher education; Experience working with electronic medical records.
- Knowledge, Skills, Abilities: Highly skilled in working with Microsoft Office Suite; Creative problem-solving skills
