This position provides administrative support to regional director, three to four operations managers, and ten to eleven field teams.

  • Assembles budget data in prescribed formats from regional teams. (15%) 
  • Gathers data and prepares forecasts for capital and O and M budgets. Uses judgment in categorizing budget dollars and determining dollar requirements. (25%) 
  • Provides training to field teams on budget preparation, timekeeping issues, and other administrative tasks. (5%) 
  • Performs data input to existing programs and develops less complex programs to satisfy current duties related to timekeeping, vehicle mileage. (5%) 
  • Responsible for maintaining the project database, including: entering of new projects, updating existing projects, deleting projects, and preparing project books for capital and O and M budget reviews. (10%) 
  • Resolve issues with expense reports and invoices and enter into the accounts payable system for proper payment. (10%) 
  • Maintain the computerized maintenance management system (currently D7i), including; entering new tasks, modifying existing tasks, deleting tasks, preparing for regulatory audits, and closing out work orders for the teams. (5%) 
  • Assist the teams in preparing contract requests and work offers, including assuring that the teams follow the correct procedures for contracting work to third parties. (5%)
  •  Review the regions' timesheets for accuracy and input into the payroll system. (5%) 
  • Maintain vehicle and work equipment records for the region, including; resolution of title and registration issues, maintenance in the PHH interactive website, mileage reporting, Kansas 10b filing, and personal property tax for the state of Nebraska. (5%) 
  • Maintain the company purchasing cards for the region, including; filing requests for new cards, resolving coding issues, and providing monthly reports for management review. (5%) 
  • Perform additional responsibilities as requested or assigned. (5%)
  • Associate's degree in business, related field or equivalent work experience. (Typically three years of related, progressive work experience would be needed for candidates applying for this position who do not possess an associate's degree). 
  • Two to four years of related administrative or upper clerical experience. 
  • Excellent computer skills (Word, Excel) and working knowledge of Oracle financials preferred. 
  • Effective oral and written communication skills. 
  • Effective analytical and problem-solving skills. 
  • Ability to prioritize and handle multiple tasks and projects concurrently.
