The Senior Program Coordinator provides professional complex administrative support on a broad range of duties and responsibilities to the Dean, and will be responsible for the programming, management and coordination of operations, and events for the Honors College. This is an Budget intensive role that requires finance/budgeting, analytical, communication, and organizational skills to assist with the College's annual budget development process, and properly manage the Budget.
Duties/Responsibilities
• Works closely with the Dean, Directors and staff to make budget projections, generate revenue forecasts, and encumber funds for planned expenses and to adjust budgets and expenses as needed throughout the budget cycle (new)
• Manage the resources of the department, evaluate processes, and program activities with the ability to make recommendations to the Dean regarding process improvements, policy changes, and provide training as needed (new)
• Assist the Dean with contractor and partnership agreements, including agreement preparation, payment and issuance of invoices and monitoring of expenditures and revenues associated with agreements (new)
• Work with Dean to set budget priorities and develop the College’s annual budget
• Create efficient and timely budget reporting to the Dean to ensure informed and strategic decision making
• Serve as a financial consultant with campus partners, and meet with Academic Affairs to discuss annual fee revenue
• Analyzes data to identify imbalances among program areas, and to reconcile budgets with current levels of expenditures and projected changes
• Work collaboratively with departments, and serve as a resource to help identify complex problems encountered by finance and database systems
• Attend Resource Manager meetings and other informational sessions to stay up to date on policies and procedures related to finance and budget
• Manage and reconcile all Honors College budgets
• Manage the purchasing function for the college and work with vendors
• Create requisitions/transfer authorizations
• Reconcile procurement card
• Manage and reconcile Prevost and other Foundation funds; work with the Foundation, Dean, and Advancement to pay out Prevost Scholarship
• Work with Bursar and Financial Aid to pay stipends for SAGA (study abroad) and HCR (Summer research)
• Manage the student organization funding account
• Work with Human Resources, Accounts Payable, Payroll, and to pay instructors for courses and to process all personnel paperwork for professional and student staff
• Prepare and process any travel documents
• Responsible for the scheduling, coordination and maintenance of the Dean’s schedule.
• Responsible for front facing communications (answering phone, responding to student/faculty/parent questions, etc.)
• Recruit, supervise, and provide mentorship and training to office assistants, student interns, and community leaders. Provide direction and guidance, assign work and review
• Manage all Honors office area updates and construction projects (new)
• Maintain student & faculty access to Franz
• Monitor/maintain Honors spaces in Franz, including student lounge, computer lab, and storage areas.
• Work with housing regarding any cleaning and maintenance requests
• Submit all work orders and maintenance requests
• Manage the day-to-day operations of the Honors College, and performs a variety of broad and complex specialized duties in support of programmatic offerings, including annual and ongoing events to create opportunities for awareness and connection between campus and community (new)
• Work closely with the Dean on the planning of program goals and objectives, coordination and implementation of current and new program initiatives, and campus activities, outreach and marketing efforts to increase student retention, engagement and success (new)

• Manage the hiring process, coordinate the hires, mentor, coaches and train support staff and 12 student assistants and volunteers, and provide guidance, and direction, of assigned staff (new)

• Lead and coordinate extra-curricular events supervise and oversee Community Leader (CL) program
• Mentor and train the Community Leaders
Program and event coordination
• Work Closely with the Dean in the management, planning, coordination and implementation of various programmatic offerings, including annual and ongoing events to create opportunities for awareness and connection between campus and community
• Lead and coordinate extra-curricular events supervise and oversee Community Leader (CL) program
• Mentor and train the Community Leaders
• Working with the Dean and the CLs, set the general direction and tone of events and programming for the year, devise schedule, and lead the planning, coordination and execution of extra-curricular Honors programming
• Responsible for all purchasing, booking, and site preparation and coordination required for events
• Manage and oversee Honors Week of Welcome with CLs
• Coordinate events for all other Honors programming: plan, book space, and do necessary purchasing for other staff members’ events (e.g., Fellowship Advising Luncheon, Undergraduate Research Poster Sessions, etc.) and for Honors-wide events (like the Honors Graduate dinner)
Recruitment/application management
• Work with Marketing and Communications on recruitment and outreach materials as needed. (new)
• Work with Marketing and Communications on webpage updates and standards (new)
• Manage Kuali and other work-flow processes for the Honors College (new)
• Responsible for the creation and development of the recruitment communication plan (sending out brochures, invitation letters, follow up emails, etc.)
• Coordinate Honors College tours with Admissions
• Put together applications for Deans’ review Prepare and generate acceptance/non acceptance letters Responsible for follow up emails, follow up postcards. Code prospects in Banner
• Manage and track Early Promotion to Nursing Program students
Minimum Requirements:
• Bachelor's degree or an equivalent combination of education and years of experience
• 5 -7 years of experience
• Experience developing and managing Budgets. Must have strong accounting and budgeting skills
• Experience in the management, planning, coordination and implementation of various programmatic offerings, including annual and ongoing events to create opportunities for awareness and connection between campus and community .
• Excellent written, verbal and interpersonal communication skills. Demonstrated experience in project management.
• Demonstrated ability to collaborate effectively with academic leaders, staff, and students. Ability to organize and prioritize work.
• Ability to coordinate or administer a program exercising independent judgment and authority.
• Ability to track and meet deadlines. Attention to detail.
• Experience with planning, coordinating, and executing events
Desired Qualifications:
• Bachelor's degree is preferred
• 7 years of experience is desired
• Experience in a College or University setting is preferred
