Job Summary:

Provides outstanding customer service in a fast-paced busy environment. Performs a variety of clerical task that requires independent judgement, ingenuity, and initiative. Utilization and knowledge of computers and other office equipment. Knows the existing lines of communication and authority. Communicates effectively, is an independent thinker, dependable and cooperative. Observes quality, detail oriented and adheres to productivity standards and other departmental Key Performance Indicators. Must be flexible with work hours to meet departmental needs. The Medical Imaging Scheduling Department Records Clerk Position reports directly to the Medical Imaging Systems Coordinator, Comprehensive Access Center Manager and AVP. Key responsibilities of the role include: Assist with day-to-day data entry in Image Now and Epic. Constant verbal and non-verbal communication with physician offices and other departments to resolve imaging issues. Impact of this role in the organization Assist in driving system wide outpatient medical imaging procedure volumes by manually processing (indexing, transcribing, and attaching) electronically faxed outpatient imaging orders in a timely manner into Epic.

Core Responsibilities and Essential Functions:

Processing, indexing, transcribing, and attaching incoming electronically faxed imaging orders. * Verifying the order received is complete (name, DOB, exam needed, dx code, physician signature) * Requesting and obtaining a completed order from the office when information is missing. * Verifying the appointment date, time and exam. * Indexes each faxed order manually utilizing the custom property fields, E-form or TRACE indexing fields. * Adheres to the indexing process in Image Now/TRACE and saving the order in the correct format. * Transcribes paper order into Epic under ancillary tab adhering to the workflow for the scheduling team to schedule the patient. * Splits multipage faxes when multiple patients are included in one incoming fax. * Attaches the paper order to the scheduled patient appointment in Epic via the E-form in Image Now or via PDF created document that is attached to patients ancillary encounter under media manager located in Epic. Attaching orders to patients chart in Epic. * Locates and secures needed patient orders on each facilities schedule. * Verifies the exam scheduled matches the electronic paper order faxed from the physician. * Contacts the physician offices and makes the necessary changes if needed. * Notifies the scheduling team of any issues via IM, email, or phone. Assists others order request or resolution. * Answers phone calls using correct scripting techniques. * Assists physician offices, facilities, other staff, or service lines with researching any issues and/or requests. * Skilled at using various techniques used in locating orders for employees when scheduling or rescheduling appointments etc.. Performs other duties as assigned Complies with all WellStar Health System policies, standards of work, and code of conduct.

Required Minimum Education:

High School graduate

    Required Minimum Experience:

    Minimum 1 year experience in a medical environment or customer service-related field. Required

    Required Minimum Skills:

    Demonstrate excellent communication skills and handwriting, basic typing, and data entry experience. Strong customer service skills, good communication and organizational skills. Engaged, team player. The individual must be able to communicate and understand verbal and written English language and display a positive attitude. This position requires a high level of attention to detail and a low error rate, as the consequences of even a minor mistake can be significant for patients and providers. Self-directed and able to work without supervision. In addition, this position requires regular, reliable attendance.
