We are looking for a full-time Residential Administrator to join our London Residential Rentals team! The Residential Administrator is a key member of Sifton’s customer service team, providing administrative support and coordination between leasing and tenant account management, from the potential tenant application, approval, and move-in process through to rental payment processing and adherence to the Residential Tenancies Act (RTA).

About the Role

  • Serve as the first point of contact by answering phone calls and greeting visitors in a professional and friendly manner, assisting residents and customers with inquiries and service requests.

  • Manage and track resident service requests in Salesforce, ensuring prompt resolution and consistent follow-up to maintain clear communication and satisfaction.

  • Collaborate closely with Leasing, Maintenance, and other departments to ensure a smooth flow of information and support continuous improvement in resident service.

  • Prepare and maintain accurate documentation, including leases, renewals, notices, and Landlord and Tenant Board forms; support rent collection processes and communicate with residents regarding arrears.

  • Assist with internal and external communications, including digital content (email updates, TV screens, e-blasts), and coordinate building access for contractors and maintenance.

  • Maintain resident and unit records in Salesforce and Docuware, code invoices for approval, and support office administration tasks such as mail handling and courier coordination.

  • Support building operations by engaging with green technologies, promoting the West 5 lifestyle, assisting with security/fire safety systems, and participating in community social events.

 

Experience

  • 2–3 years of experience in customer service and/or administration within Property Management

  • Strong understanding of the Residential Tenancies Act and lease obligations

  • Experience in preparing and serving legal notices and related residential communications

  • Excellent written communication skills, especially through email and digital platforms

  • Proficient in MS Office (Word, Excel, Outlook), Salesforce/CRM, Docuware, and financial/data systems

  • Knowledge of residential Health & Safety and fire code compliance

  • Exceptional customer service skills, with the ability to problem-solve and resolve issues at first contact

  • Highly organized with the ability to multitask and prioritize in a fast-paced environment

  • Skilled in research, data collection, and presenting actionable insights to management

  • Flexible to work non-standard hours when operational needs arise

  • Must possess a valid driver’s license and have access to a reliable vehicle
