The Kavango Zambezi Transfrontier Conservation Area (KAZA TFCA), an initiative of the Partner States - Angola, Botswana, Namibia, Zambia and Zimbabwe, has been prioritized by the European Union (EU) NaturAfrica programme guided by the goal of reducing biodiversity loss while improving the sustainable quality of life of local communities under the three pillars of conservation, green economy and inclusive governance.

WWF has well-established country offices in three (Namibia, Zambia & Zimbabwe) of the five KAZA Partner States. This position will be managed through WWF Namibia office which is a dynamic, internationally recognized and locally grounded non-governmental organization. Since 1993, WWF Namibia has worked to support the Namibian Government, national organizations, and communities in conserving the country’s natural resources—while simultaneously unlocking opportunities for a sustainable, inclusive, nature-based economy that benefits all Namibians.

As part of WWF’s longstanding commitment to the KAZA TFCA, working through its three COs and leveraging its global network, WWF has established its presence in the landscape through the WWF KAZA programme which works closely with the KAZA TFCA Secretariat to help deliver on its mandate.

Job Description

Position Overview
We are looking for a Programme Administrator Assistant - a dedicated, detail-oriented, passionate, creative, team player and committed professional who is always willing to push boundaries and exemplifies integrity and empathy.  The ideal candidate understands the importance of leading by example and aligning with WWF’s mission and values (Courage, Integrity, Respect, and Collaboration).

Main Function
The Program Administrator Assistant will provide critical administrative, financial, and logistical support to the EU NaturAfrica Program to KAZA, led by the KAZA Secretariat, with a particular focus on cross-border coordination within the KAZA landscape. The role requires close collaboration with a wide range of partners including NGOs, community-based organizations (CBOs), and government entities across all five KAZA Partner States.

Key Responsibilities

  • Administration support: Provide administrative support to the WWF Namibia Project Management Unit, including document preparation, advertising, filing, printing, and minute-taking.
  • Accountability functions: timely reporting (monthly, quarterly, and annual financial and technical reports) and support the tracking and management of project budgets and expenditures, ensuring alignment with approved work plans and project implementation is within the budget and aligned to institutional and donor requirements.
  • Procurement: Assist the Finance and Procurement Manager with procurement, disbursement processing, tracking, asset register, reconciliations, and compliance with EU and WWF financial policies.
  • Monitoring, evaluation and learning: Prepare and contribute to monthly, quarterly, and annual financial and technical reports. In addition, develop project monitoring, evaluation and learning system together with the M&E Officer in the KAZA TFCA Secretariat to track progress toward EU NaturAfrica objectives and impact.
  • Logistical support: Coordinate logistics for EU NaturAfrica related meetings, workshops, trainings, and project-related travel and accommodation.
  • Stakeholders’ engagement: Support the coordination and implementation of inclusive and transparent stakeholders’ engagement through in-country and transboundary stakeholder’s workshops and consultations.

Education And Experience

  • A Bachelors Degree  in Business Administration, Office Management, Project Management, or a related field.
  • A minimum of three (3) years of relevant professional experience.
  • A valid driver’s license.

Skills And Abilities

  • Strong communication and interpersonal skills, with the ability to engage a wide range of stakeholders.
  • High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); experience with project management software is an advantage, such as Monday.com, would be an advantage.
  • Excellent organizational and time management skills, with strong attention to detail.
  • Ability to multitask and manage competing priorities in a dynamic environment.
  • Capacity to work independently as well as collaboratively within a multidisciplinary and multicultural team.
  • Willingness and ability to travel (as required), including to remote rural locations.
  • Demonstrated initiative, independence, and a strong commitment to conservation and sustainable development.
