This role is critical in managing the administrative requirements of the Fiji offices delivering a high standard of service to staff and site visitors. The Administrative Coordinator is responsible for overseeing the administrative operations of the business, including taking responsibilities for office stationery supplies and tea-room supplies,  taking responsibility for accounting for and recording supply of Health and Safety requirements and supplies, working with our Digital supplier and keeping records of phone and Wi-Fi supplies, and the booking of accommodation and flights and taxis, ensuring these functions performed in a seamless and efficient manner. Additional key responsibilities of the role include coordinating and managing office events, coordinating facility management tasks and raising purchase orders. The position is responsible for providing support to the senior NPDL Fiji team and the HR team.

Job Description

  • Ensuring that all administrative support functions including purchasing of office supplies, and working with HR to ensure onboarding of staff with are handled in a timely manner across all locations.
  • Ensuring offices in all locations are stocked with necessary supplies and all office equipment is working and properly maintained.
  • Liaising with the insurance broker, providers of medical and life insurance and staff on all matters related to these covers.
  • Working together with the Fiji Transport Manager, maintaining a record of the motor vehicles and scheduling and organising the annual renewals and periodic maintenance
  • Negotiating with external suppliers of goods and services to secure the best pricing and arrangements including organising tenders for specific services in conjunction with Finance and the Managing Director
  • Assisting the Finance department with the administration and monitoring of mobile phones, fuel cards, taxis, credit cards usage, and other Finance activities as required
  • Arranging complex and detailed travel plans and itineraries as and when required as well as setting up travel profiles for staff members.
  • Communicating with building maintenance team  regarding any maintenance issues.
  • Maintaining, developing, reviewing, and improving administrative systems, policies, and processes
  • Any other duties assign by Manager.

Qualifications

  • Minimum 5 years’ experience in a similar role
  • Proficiency with Microsoft Office Suite
  • Excellent communicator both orally and in writing with a talent for operating across different levels in a business.
  • Highly dependable and trustworthy
  • Strong problem solving, critical thinking and interpersonal skills.
  • Excellent time, task, and resource management skills
  • Ability to plan for and keep track of multiple tasks and deadlines.
  • Hold a current full driver’s licence.
  • After-hours flexibility including weekends and public holidays as required.
