The Front Desk Supervisor functions as a key leader within the front desk team, providing oversight and direction over the essential duties, workflows, and performance of Front Desk Coordinators (FDCs) within their assigned region. While not the direct manager, the FDC Supervisor will collaborate with the Facility Director(s) in the supervision of the Front Desk Coordinator staff and is responsible for supervising day-to-day operations and providing structured guidance on time management, quality, growth, and job responsibilities of the FDCs. The Front Desk Supervisor acts as the first point of contact for issue resolution and ensures consistency and excellence across front desk operations.

JOB DUTIES AND RESPONSIBILITIES:

  • Fully meets and exceeds all essential functions of the Front Desk Coordinator position and is able to perform those duties independently and expertly.

  • Participates in hiring and counseling staff.

  • Provides input to annual performance reviews of assigned staff.

  • Develops, evaluates and adjusts current and future staffing in conjunction with the Facility Director, Regional Director, and Front Desk Manager.

  • Provides functional supervision, mentoring, and structured support to designated Front Desk Coordinators, including: Time management practices, Workflow consistency, Quality standards, Role-based performance, Ongoing growth and development.

  • Supports the development and continuous improvement of front desk processes, recommending enhancements in workflows and efficiencies in collaboration with the Facility Director, Regional Director, and Front Desk Manager.

  • Collaborates with the Front Desk Manager and Regional Director to identify systemic issues or training needs within the region; attends and contributes to regular meetings with these stakeholders and the Facility Director.

  • Responsible for managing and coordinating front desk call-outs in their region, assisting with coverage plans and ensuring uninterrupted operations.

  • Participates in the training and onboarding of new Front Desk Coordinators, as well as in performance improvement planning when necessary, under the supervision of the Regional Director and Front Desk Manager.

  • Assists in staffing coordination and may participate in scheduling and planning initiatives at the discretion of the Front Desk Manager or Facility Director.

  • Supports monitoring and completion of Epic work queues related to registration, accounts, and claim edits as directed.

  • Serves as the point of contact for Front Desk Coordinators for questions, troubleshooting, and operational guidance.

  • Participates in periodic site visits as needed to assess front desk function and support local teams.

  • Maintains up-to-date knowledge of insurance regulations and payer policies and can interpret eligibility responses to confirm benefits and co-pays.

  • Acts as a facility ambassador, able to confidently answer questions about the organization’s services and policies.

  • Collaborates with the Facility Directors within their region in the supervision of Front Desk Coordinator staff.

PHYSICAL AND SENSORY REQUIREMENTS:

Sitting 8 hours per day; 3 hours at a time. Continuously fingering and handling for data entry, typing, etc., and occasional twisting and turning. Uses upper extremities for occasional lifting and carrying of up to 10 lbs. Frequently stoops, bends, or reaches above shoulder level to retrieve files. Hearing as it relates to general vision. Visual monotony when reading reports and reviewing computer screens.

EDUCATION:

HS Diploma or GED

TRAINING AND EXPERIENCE:

  • Demonstrated excellence in the Front Desk Coordinator role or equivalent.

  • Strong leadership, communication, and organizational skills.

  • Ability to prioritize multiple tasks and manage time effectively in a fast-paced setting.

  • Familiarity with Epic or similar EHR systems preferred.

  • Proven ability to coach, support, and elevate team performance without direct managerial authority

MINIMUM - MAXIMUM COMPENSATION PAY RANGE:

$51,150.00 - $81,840.00

St Luke’s University Health Network is required to provide a reasonable estimate of the salary range for this job in certain states and cities within the United States. Final determinations with respect to salary will take into account a number of factors, which may include, but not be limited to the primary work location and the chosen candidate's relevant skills, experience, and education.  We will meet minimum wage or minimum of the pay range (whichever is higher) based on state requirements.
