Moderna is solidifying its presence in Taiwan, a region known for its robust biotech and technology sectors. Our Taiwan office will concentrate on commercial activities, delivering our innovative mRNA products to the Taiwanese market. As part of our continued growth, Moderna Taiwan is seeking an experienced and proactive Office and Operations Manager to join our team in Taipei. This highly visible and cross-functional role will support the General Manager and the broader Taiwan, Hong Kong & Singapore leadership team by overseeing seamless day-to-day office operations, providing project coordination, managing internal and external meetings and events, and ensuring administrative excellence.
You will act as a critical partner across multiple business functions and external stakeholders, owning logistical planning, vendor management, and operational execution. This is a sole contributor role in a dynamic and fast-paced environment—ideal for someone who thrives on autonomy, attention to detail, and multifaceted responsibilities. Your ability to navigate confidential matters, collaborate cross-functionally, and anticipate needs before they arise will be central to your success. With opportunities to integrate digital tools and exposure to next-generation platforms like generative AI, this role places you at the intersection of operational excellence and innovation.
Here’s What You’ll Do:
Your key responsibilities will be:
Oversee and support internal and external meetings, including leadership team sessions, regional offsites, and town halls
Coordinate logistics and provide in-person support for visiting international guests
Lead the planning and execution of local team-building and employee engagement activities
Manage vendor relationships, negotiate service contracts and pricing, and process associated invoices
Serve as point of contact for serviced office reception and external service providers including travel, communications, and insurance
Establish and maintain office policies, procurement standards, and operational procedures to maximize efficiency
Your responsibilities will also include:
Manage executive calendars, meeting schedules, and administrative priorities
Provide local document management, including contract and agreement tracking in collaboration with global and local stakeholders
Support cross-functional teams by preparing project documentation, tracking project milestones, and ensuring deliverables are met on time, on budget, and in scope
Draft meeting minutes, action trackers, and follow-up communications to ensure accountability and momentum
Assist commercial and enabling teams with ad hoc administrative and coordination needs

Here’s What You’ll Bring to the Table:
Certificate or diploma in Office Administration, Business, or related field.
Minimum 5 years of experience in a similar role.
Experience with office relocations and facilities management.
Strong team orientation with a collaborative and service-focusd mindset.
Proficinecy with IT tools, particularly with Office and AV equipment.
Intermediate to advanced skills with MS Office 365 applications.
Excellent verbal and written communication skills.
Ability to establish and maintain effective working relationships across teams and levels.
High degree of personal initiative, flexibility and agility.
Fluent English (spoken and written) to communicate effectively with global colleagues.
