We are looking for a proactive, detail-oriented, and people-focused People Operations Coordinator to join our Kraków team at Faria Education Group. This role is ideal for someone with a strong understanding of Polish labor law, a passion for organization, and a commitment to delivering exceptional employee support throughout the full employee lifecycle, from onboarding to offboarding.
As the key point of contact for HR matters in Poland, you will be responsible for ensuring HR compliance, managing payroll operations, overseeing benefits administration, and handling interactions with state authorities. You’ll also play an essential role in shaping a positive and engaging employee experience while maintaining smooth HR operations aligned with both local regulations and global People Ops standards.
This position reports directly to the VP of People & Culture and works closely with the Global People Operations team to implement and localize HR initiatives for our Kraków office.
What You’ll Be Doing
Internal Operations:
- Oversee cost-effective local branch operations and manage internal HR expenses for reporting to the Finance team.
- Arrange business travel (flights, hotels, visas, airport pickups).
- Administer employee perks, including Birthday & Anniversary Gifts, and company engagement programs.
- Maintain accurate records of office equipment.
- Organize company social events and support internal learning & development activities.
- Work closely with the legal and accounting departments on agreements and payments.
Onboarding:
- Prepare and manage employment contracts (trial, fixed-term, permanent) in line with Polish labor law.
- Ensure new hires receive the Welcome Kit and necessary equipment with grant them appropriate system access.
- Conduct first-day orientations, introduce new hires to company policies, and support probationary review processes (30-60-90 day check-ins).
- Handle official HR correspondence and ensure compliance with GDPR and Polish employment documentation requirements.
Employee Relations & Support:
- Serve as the primary point of contact for HR inquiries in Poland.
- Guide company policies and HR procedures to ensure compliance and consistency.
- Support managers in addressing employee concerns, fostering a positive work environment, and resolving workplace issues in line with company policies.
Compensation & Benefits:
- Manage employee benefits, including pension, vacation, holiday, and TOIL.
- Administer employee benefits programs, including health insurance, and other regional offerings.
- Partner with People Ops leadership to evaluate and improve benefits packages annually.
- Maintain and update employee records with accuracy and confidentiality.
- Support health & safety (OHS)
Payroll & Employee Management:
- Manage monthly payroll adjustments and conduct payroll accuracy checks.
- Oversee employment documentation, ensuring updates are uploaded to BambooHR and shared with Finance as needed.
- Handle employee requests for adjustments, such as changes to working hours or pension contributions.
HR Processes & Projects:
- Assist in performance management processes, including employee evaluations and development plans.
- Support company-wide HR initiatives, such as Diversity, Equity, and Inclusion (DEI) programs.
- Work with the global People Ops team to align HR strategies and best practices across regions.
Offboarding:
- Prepare all necessary offboarding documentation.
- Manage exit procedures, including access revocation and equipment return.
- Conduct exit interviews and share feedback as required.
Requirements
Who You Are
- You’re experienced in HR, with a minimum of 3 years in an HR or People Ops role in Poland.
- You have a solid understanding of Polish labor law (Kodeks pracy) and employment regulations.
- You’re organized, proactive, and you love getting things right the first time.
- You’re fluent in Polish and English-you can switch between them effortlessly.
- You’ve worked with HRIS or similar tools and love a tidy spreadsheet.
- You’re approachable, friendly, and you genuinely care about people and creating a great work environment.
