POSITION SUMMARY
This position’s main focus will be supporting the Corporation’s real estate and insurance/risk management function. It will assist with the administration of various real estate and insurance projects and tasks including various payment transactions on existing owned and leased properties, property taxes, insurance premiums, claim fundings and gathering renewal information for insurance program as well as other tasks that support both functions. This position will report to Director of Risk Management and Real Estate and will be mentored by Senior Analyst and will be supporting both on various assignments as requested.
The position requires an interest in expanding knowledge of real estate and insurance including basic accounting, vendor management, and basic contract administration.
KEY ACCOUNTABILITY AND RESPONSIBILITIES
REAL ESTATE
- Assist with the administration and updates of real estate databases MRI and CoStar to assure accurate data, completeness of documents and accuracy of the reports produced.
- Finalize Datamation project related to corporate record retention initiative.
- Ryan LLC: Administer ongoing payments assuring accuracy and timeliness for all Real Estate Taxes for USG and CGC through funding of Ryan LLC using POs and wires as needed. Assist Ryan, LLC with managing all property taxes. This includes ensuring prompt payment of all property tax bills, and analysis of budget to actual reconciliation variances, preparing reports for annual budgeting for the Senior Analyst.
- Incentives: Assist in preparation of applications for incentives, gather and organize data under supervision of the Senior Analyst.
- MRI: Prepare and submit lease payments on a monthly basis, review all CAM reconciliations and audits, prepare payment reports and lease budget on an annual basis for accounting. Keep track of all lease expiration dates, options, extensions for all USG’s CGC’s leases.
- Proactively work with Senior Analyst to provide reporting on coming up renewals or expiration of the leases.
- Coordinate real estate transaction activities and schedule ongoing and ad-hoc meetings with various internal and external stakeholders as appropriate.
- Process payments related to service fees for various vendors (Cushman, MRI, CoStar etc.).
- Work with Senior Analyst to assist with gathering information on real estate matters as requested by inside and outside real estate and environmental attorneys and consultants when acquiring land, properties and mineral rights.
- Scan, review, sort and address all Real Estate department mail. Organize and submit all property tax-related mail to Ryan LLC on a weekly basis; address all real estate inquiries received in a timely manner.
INSURANCE
- Assist with the administration and updates of all insurance records on G drive to assure accurate data, completeness of documents.
- Administer all insurance related payments assuring accuracy and timeliness for all ongoing payments, renewal payments for both local and global placements.
- Process funding requests for POs in Oracle associated with real estate and insurance.
- Assist in collecting renewal data, updating charts and applications as needed.
- Administer various insurance requests from the field as to certificate of insurance and basic insurance inquiries.
- Support and collect data for updates on Property Values for Knauf and updates in Ventiv system.
- Handle other insurance and risk management requests, and special projects as needed.
- Serve as backup to other department staff as needed.
- Scan, review, sort and address all Insurance department mail.

Education
- Undergraduate Degree in Business or Associates Degree in Business (or equivalent)
Experience
- 3+ years of business or accounting experience required
- Experience or knowledge in real estate, insurance or finance is preferred

Rate of pay may be adjusted based on the qualifications and experience of the candidate.
