Reporting to the Director, Alumni Relations, the Alumni Relations Coordinator is responsible for maintaining the integrity and accuracy of the alumni database, supporting the development and implementing database documentation workflows, and providing essential support for on-campus alumni events and programs. The incumbent coordinates event logistics, assists with alumni communications, responds to alumni inquiries, and contributes to the overall engagement and connection of alumni with the institution.
The Alumni Relations Coordinator Will:
- Maintain and update alumni database with information related to Brock’s alumni, volunteers, donors and friends (i.e., contact information, engagement history, preferences, track interactions, communications, etc.) ensuring data accuracy, completeness, and integrity;
- Generate reports and lists from the alumni database to support alumni relations programs and initiatives;
- Review and assess the effectiveness of engagement initiatives and provide feedback to inform future outreach strategies and personalize interactions;
- Coordinate logistical aspects of on-campus alumni events, including venue booking, catering arrangements, transportation coordination, and registration management;
- Act as a liaison between departments and Alumni Relations, facilitating collaboration in the planning and delivery of alumni engagement events, programs, and initiatives;
- Assist with the planning, promotion, and execution of alumni programs and initiatives;
- Collaborate with community partners, faculties, departments, and staff to develop and deliver engaging campus events;
- Manage all logistics for campus-related alumni events, such as convocation receptions, coffee hours, guest speaker sessions, and Preview Day/Open House activities;
- Oversee event registration processes and track alumni attendance, ensuring accurate documentation within the system;
- Deliver on-site support for alumni events, including setup, teardown, attendance tracking, and issue resolution;
- Assist with the creation and distribution of alumni communications, including newsletters, email campaigns, and social media posts as requested; and
- Support the development of alumni engagement strategies and initiatives.
Key Skills And Experience:
- College diploma in a related discipline, or equivalent combination of education and experience;
- Current Ontario driver’s license (Class G) with an acceptable driver’s abstract;
- Relevant experience including database management, communications, event management, volunteer management and/or fundraising;
- Experience in advanced level administrative support position;
- Excellent organizational and time management skills to prioritize and manage multiple tasks in a fast-paced environment;
- Experience with event planning and coordination;
- Strong technical and analytical skills;
- Proficiency in computer applications including word processing, spreadsheets, databases (e.g., Raiser's Edge), web maintenance, and online collaboration tools;
- Demonstrated commitment to inclusivity and respect;
- Excellent written and verbal communication, and interpersonal skills for effective engagement; and
- Strong customer service skills and ability to interact with a diverse population.
- Experience in a university environment.
- Job Grade [I], Salary Scale ($52,093 - $84,476);
- Target Hiring Range: $52,093- $58,000*
- This is a permanent position that includes:
