About the Role

We’re looking for a warm, organized, and proactive Administrative & HR Associate / Manager to strengthen our internal systems and help our small-but-mighty team thrive. You’ll be the first point of contact for incoming phone calls and general inquiries, and the go-to for office logistics, benefits coordination, HR systems, and internal operations. This role is ideal for someone who is grounded, tech-savvy, highly responsive, and enjoys making internal processes smarter, smoother, and more people-centered. We’re looking for someone to thrive behind the scenes: coordinating people, systems, tools, and vendors with clarity and care. The right candidate will have a strong foundation in HR or operations and will either grow into – or already operate at – a manager level.


Key Responsibilities

Administrative & Office Management

● Serve as the first point of contact for MHET: triage incoming phone calls and general emails with professionalism and warmth.

● Coordinate logistics for the Kingston office: receive mail, retrieve packages, make bank deposits, maintain inventory, and organize supplies.

● Manage the organization’s digital and physical filing systems: ensure documentation is properly labeled, archived, and accessible.

● Coordinate internal and external meetings (staff, board, community): prepare materials, schedule rooms, handle catering, and assist with logistics.

● Manage vendor relationships, including insurance brokers, IT providers, and office service vendors.


Human Resources & People Systems

● Maintain accurate HR records in Rippling, including PTO tracking, compliance trainings, and personnel files.

● Support new hire onboarding, scheduling interviews, collecting references, and preparing welcome materials.

● Coordinate employee benefits enrollment and renewals, and serve as liaison for staff benefits questions.

● Help support a positive, values-aligned workplace culture: reinforce team agreements, promote collaboration, and model professional boundaries


Operations & Internal Systems

● Support financial documentation: collect, organize, and upload receipts, invoices, and documentation for reimbursements and audits.

● Work with the financial consultant to ensure organized records for grant reporting, audits, and general bookkeeping.

● Help track spending across projects and programs and support administrative budgeting as needed.

● Continuously identify ways to improve internal processes and increase efficiency across the organization.

● Audit MHET’s use of digital tools and systems to ensure they’re effective, secure, and cost-aligned.


Technology & Tools

● Coordinate with IT vendors for hardware, software, and cybersecurity support. Onboard staff to digital platforms (Google Workspace, Zoom, Rippling, HubSpot, Asana, etc.) and provide basic troubleshooting support.

● Maintain a tech inventory and assist with setup and upgrades for staff equipment.

● Comfortable with tech. You already use Zoom and Google Workspace. Bonus for experience with Rippling, HubSpot, Asana, or QuickBooks.

Location & Schedule

Mid-Hudson Energy Transition is based in Kingston, NY. Our standard work hours are Monday through Friday, 9:00 AM to 5:00 PM. You’ll be expected to be on-site 1–2 times per week for mail, deposits, inventory, and filing. Remote work is available the rest of the time during business hours.


Compensation & Benefits

The salary range for this position is $60,000–$75,000 depending on experience and title (Associate or Manager). Benefits include health, dental, vision, and life insurance, retirement plan with a 4% employer match, professional development opportunities, and unlimited paid time off.
