The Opportunity
The Office Coordinator will play a strategic role in managing our front-desk admin responsibilities for our Warsaw location. The position is a part of a International Facility Operations division and reports directly to the Area IFO Manager based in Poland.
What You'll do:
- External and internal customer service
- Greet vendors, customers, job applicants and other visitors and arrange for transportation services when needed
- Answering phone calls/operate a switchboard to route incoming calls and place outgoing calls
- Mail segregation and distribution, handle incoming and outgoing mail
- Copy, file and maintain paper or electronic documents and records
- Direct visitors by maintaining employee and department directories
- Courier shipments and reports, manifests and waybills administration
- Handle office supplies, cafeteria
- Repairs in the office, technical problems – reporting & mending monitoring
- Create and manage both digital and hardcopy filing systems for all partners
- Document archiving – cooperation with vendor
- Office access badges for employees/building badges ordering and administration
- Maintain security by following procedures, monitoring logbook and issuing visitor badges
- Deal with bookings by phone, e-mail, letter, fax or face-to-face
- Intranet website administration
- Notifying letters registration under MedTech procedures
- Scanning and introducing invoices into the internal system
- Contracts archiving
- Operational EARs for Poland and the Netherlands
Required qualifications and background:
- Strong customer service and problem solving skills
- Accuracy and attention to detail
- Strong organizational skills with ability to prioritize tasks
- Computer literacy with knowledge of MS Office tools
- Good command of English
- Overachieving attitude
- Ability to adapt to fast-changing environment
- Strong interpersonal and communication skills
- Friendly, supportive approach with strong customer focus
- Ability to meet deadlines and work under pressure
- Prior experience in supply management would be a strong asset
