POSITION SUMMARY: The Accounts Payable Clerk will work within the Accounting Department and will report to the Accounts Payable Manager.  They will work closely with subcontractors and vendor Accounts Payable Department to assist the Office Manager in tasks such as processing and payment of invoices.  This position will also assist with processing payments. This position will be fully in-office in accordance with Company policy.

 

SALARY RANGE: $50,000 - $70,000

 

PRINCIPLE RESPONSIBILITIES: 

  • Code vendor invoices and retrieve proper approval prior to entering them into the accounting system.
  • Review job site invoices for accuracy, appropriate documentation, and proper authorization.
  • Prepare and process payments to vendors according to payment terms and company policies.
  • Perform reconciliations of accounts payable transactions and vendor statements to ensure accuracy and resolve discrepancies.
  • Maintain vendor records and assist with retrieval of documents.
  • Address vendor and personnel inquiries in a timely manner, resolving issues related to payments or invoices.
  • Verify and process check requests and employee expense reports.
  • Assist with month-end closing activities related to accounts payable.
  • Ensure adherence to company policies and accounting principles.
  • Assist the accounting department with miscellaneous projects as needed.

 

QUALIFICATIONS, SKILLS AND ABILITIES:

EDUCATION

  • High School Diploma or GED required. 
  • Associate’s degree in accounting or Accounts Payable training preferred but not required.

 

EXPERIENCE

  • Two to three (2-3) years of equivalent work experience required. 

 

POSITION RELATED SKILLS

  • Meticulous in reviewing documents and ensuring accuracy in financial records.
  • Managing multiple invoices, records, and tasks efficiently.
  • Effectively communicating with vendors, internal departments, and colleagues.
  • Identifying and resolving discrepancies or issues related to invoices and payments.
  • A solid understanding of accounting principles and practices, particularly those related to accounts payable.
  • Prioritizing tasks and meeting deadlines for payment processing. 
  • Proficient in Windows and Microsoft Office 365 (Excel, Word, Outlook, Teams, etc.) and have a general understanding of working within a computer network.
  • Must be willing to learn, take direction, and take on any added responsibilities as needed. 
  • Ability to work well and maintain a cooperative attitude through high-pressure situations.
  • Must be willing to work in a large professional office setting. 

ESSENTIAL FUNCTIONS: 

  • Standing/Walking/Sitting: Workday is a combination of standing, walking and sitting. 
  • Must be able to climb stairs: 5% of the day.  
  • Hands/Arms: Constant use of hands/fingers for mouse/keyboard/computer use.  
  • Sight: Visual acuity in near, mid, and far range vision. Color vision, peripheral vision, depth perception, hand/eye coordination.  
  • Hearing: Sufficient to hear conversational levels in person and over the telephone. 
  • Speech: Sufficient to make oneself heard in person, speak in front of groups, and be understood over the telephone.
  • Bending/Twisting: Minimal.  
  • Kneeling/Crouching/Crawling: Minimal.  
  • Constant mental alertness, accuracy, and attention to detail required.  
  • Must be able to work independently, make decisions, and follow through on all assignments.  
  • Must use creativity, independent judgment, and organizational and problem-solving skills to determine the best method to accomplish desired results.  
  • Must be able to plan and organize work.  
  • Must possess strong organizational and computer use skills and have a high level of competency to read/write/speak English, interpret construction related documentation and communicate with coworkers.
