Summary: The Client Onboarding Specialist will be responsible for managing the end-to-end onboarding and offboarding process for high profile, high net worth clients, acting as a liaison between internal teams to ensure all operational and administrative steps are completed efficiently, accurately and with care. Additionally, the Client Onboarding Specialist plays a critical part in ensuring our operations meet the highest standards of compliance and efficiency. This role requires a high degree of ownership, accountability and professionalism. This role will work under the supervision of the Director, Training & Development, to ensure a smooth and seamless transition for each new client. This role is based in Los Angeles, CA.
Responsibilities:
- Initiate the client onboarding & offboarding process by drafting, sending & monitoring engagement/disengagement letters for various signatures and tracking their execution
- Works with Operations team to ensure accurate reflection of information in engagement letters (e.g. fee structure changes, annual inflationary increases, etc.)
- Create & oversee centralization of GCBM engagement & disengagement letters
- Prepare and send welcome emails to new client teams
- Prepare and send disengagement emails to client teams
- Maintain and manage onboarding & offboarding checklists to ensure timely completion of all steps. Adhering to strict internal deadlines.
- Coordinate with internal departments (tax, insurance, operations, etc.) to gather necessary information and ensure alignment with client-specific needs
- Monitor onboarding & offboarding timelines and proactively follow up on outstanding tasks or documents
- Document and continuously improve onboarding & offboarding processes, flagging bottlenecks or opportunities for efficiency
- Other responsibilities as directed by Director, Training and Development
Requirements:
- 2+ years of experience in client onboarding, operations, or administrative support (experience in finance or entertainment a plus)
- Strong organization and project management skills; able to manage multiple client onboardings simultaneously
- Excellent written and verbal communication skills
- High attention to detail and follow-through
- Excellent communication skills, with the ability to train and support a diverse team
- Ability to operate with minimal supervision & maintain discretion with sensitive information

The base salary range for this position is $53,000 to $78,000. The base salary offered will be determined by factors including, but not limited to, experience, credentials, education, certifications, skill level required for the position, the scope of the position, and geographic location. Actual base salary offered will be determined on a case-by-case basis. In addition to the base salary, this position may be eligible for performance-based incentives.
