Position Overview
The Commercial Operations Specialist plays a key role in delivering outstanding customer service and ensuring high levels of customer satisfaction. This position provides prompt, professional, and accurate support to clients, the sales team, and other stakeholders, addressing inquiries and resolving issues efficiently.
Key Responsibilities
- Maintain a positive, approachable, and professional demeanor when interacting with stakeholders, fostering strong relationships.
- Coordinate with colleagues to establish and follow a daily/weekly work schedule that aligns with business priorities.
- Collaborate with management to implement and support customer satisfaction initiatives.
- Ensure timely and efficient processing of customer order releases.
- Assist in investigating complaints and credit requests, verifying product/lot purchase claims, and ensuring compliance with all applicable requirements.
- Coordinate shipments with shipping agents and intercompany teams.
- Serve as the primary escalation point for product returns and customer credit requests.
- Manage order inbox assignments, process orders received through electronic and manual methods, handle credits and debits, inbound calls, replacements, returns, complaints, and complex product orders.
- Review and edit orders for accuracy, ensuring timely delivery and appropriate follow-ups.
- Attach necessary documentation to orders within all systems.
- Process activities in compliance with established Customer Service Procedures, SOPs, and SDS requirements to maintain ISO 9001 certification.
- Document all customer interactions in SAP/SFDC to ensure accurate and consistent responses.
- Verify pricing by reviewing Purchase Orders and liaising with the Pricing and Contracts Team when necessary.
- Assist in collecting distributor sell-out and inventory data for analysis.
- Provide administrative support to maintain efficient office operations.
- Offer additional support in sales, invoicing, and supply chain functions as needed.
- Perform other duties as assigned.
Required Qualifications
- Bachelors degree in Business Administration
- 2 to 3 years experience in a customer contact/service center environment.
- Experience with SAP functions is preferred (Entry Level to 04 years experience).
- Excellent communication and interpersonal skills for effective interaction with staff and customers.
- Ability to multitask and handle disputes or emergencies with composure.
- Strong result and customer service orientation.
- Proficiency in MS Office and SAP.
