Job Description
In assigned office, relieves superior of routine administrative duties (e.g., researches & analyzes materials, information & programs; provides technical information & advice to administrators to aid in decision making; creates & runs queries; creates forms & spreadsheets); provides assistance & information to internal & external customers (e.g., general public, consultants, state employees, government officials) in response to requests & inquiries received. Serves as liaison between administrator & subordinates; transmits decisions & directives & represents administrator at meetings & conferences. Uses personal computer & related software (e.g., Microsoft Office) to manage business functions of assigned office (e.g., prepares reports, publications, memos, presentations &/or other correspondence for dissemination outside work unit; performs inventory spot checks; tracks progress on office activities/goals; monitors budgets; purchases supplies & equipment; processes invoices for payment; keeps fiscal & other records (e.g., purchasing contracts). Researches & responds to inquiries & complaints; furnishes information & explains programs to the public.
Performs other clerical duties (e.g., prepares reports, publications, presentations &/or other correspondence for dissemination out to work unit; answers phone & screens calls; greets & directs visitors; prepares materials of mailing; schedules meetings & conference rooms; takes & distributes meeting minutes, sorts & routes mail; maintains files).

Qualifications
18 mos. exp. or 18 mos. trg. in secretarial/administrative professional field.
-Or completion of associate core coursework in secretarial science or business office applications from accredited career school or community college.
-Or 6 mos. exp. as Administrative Professional 1, 16871.
-Or equivalent of Minimum Class Qualifications For Employment noted above.
Job Skills: Administrative Support/Services
The selection process for this position will include a structured interview.Candidate responses to the interview questions will be scored and the selection will be made in accordance with the OCSEA/AFSCME Contract.
This position is overtime eligible based on FLSA Standards.
All bargaining unit new hires must serve a one (1) year probationary period.
If this position is filled internally, the wage rate will be determined in accordance with the contract.
The final candidate selected for this position will be required to undergo a criminal background check. An individual assessment of an applicant's prior criminal convictions will be made before excluding an applicant from consideration.
