Managing of all owned properties of bank co-ordinate with Mashreq Management and External tenants to give excellent service to tenant and safe guard banks interest and follow standard procedures for smooth functioning of Property Unit.. Set Property Unit Budget in advance for next year and communicate with tenant the rent and charges as per Regulatory timelines. Scrutinize and validate all Documentations relating to tenancy contract including company and personal documents of tenants make sure that all required documents are in bank records. Monitor all rental transactions and validate all collections are made according to the set budget / standard charges; book all income in specific GLs by co-ordinating with CAD. Issue Tax Invoice for all collections as per standard timelines , share with tenants. Maintain MIS for Property Unit across UAE for Tenancy Contracts , Occupancy, Collections, Tax Invoice ,. Maintain Admin Sundry and GL accounts, monitor entries, perform monthly reconciliations. Manage staff parking in all Owned Properties, issue parking as per eligibility, maintain updated records, perform periodical reconciliations. 

Managing Owned Properties Rented to External Tenants

  • Manage all activities of Mashreq Owned properties across UAE co-oridinate between Mashreq Management and External Tenant to follow bank process at the same time give tenants Excellent service to retain them in the building and maintain high occupancy level .
  • Respond to tenant day to day queries / issues on priority basis after safe guarding bank interests. 
  • Verify all rental payments and other collections from tenants as per approved budget / standard rates 
  • Verify and approve all communications to tenants are as per banks standard process and align with Authority Regulations
  • Verify and approve all Tenancy contracts and other documentation are aligned with banks SOPs and Authority Regulations 
  • Avail Evaluation reports for Buildings by coordinating with outside vendors  and Mashreq Internal Departments
  • Co-ordinate with Internal Departments and External agencies / government authorities for property matters including sale of properties

Managing Booking of Income received from tenants 

  • Monitoring the rental and other charges payments are as per approval and initiate follow ups incase of non-receipt of payments
  • Ensure all the collections are properly booked in specific GLs and complete collaboration with CAD 
  • Prepare periodical reports for collection and proper reporting 

Managing Tax Invoice of all Administration collections including Tenant for All Rental / Other collections.

  • Issue Tax Invoice as and when required and on monthly basis for owned premise for rental collections
  • Make sure that the rental income is posted to related GL before issuing the tax invoice
  • Co-ordinate with CAD for booking of collections and also for advance rental and other charges bookings
  • Co-ordinate with Admin staff for proper delivery of tax invoice to tenants

Management  MIS of Owned Properties 

  • Prepare and maintain Monthly MIS for the properties - Building Status Reports, Overdues, Vacant Unit & Post-Dated Cheques
  • Prepare and maintain MIS for Utility Charges dues from tenant
  • Prepare and maintain MIS for Tax Invoices issued to tenants
  • Prepare Unit MBO report on quarterly basis.
  • Prepare and maintain Report for Security Deposit collected from Tenant
  • Maintain Record for Security Deposit paid to Landlords and Government Authorities     
  • Prepare and share Quarterly report of Properties to CAD 

Reconciliation of Sundry & GL Accounts

  • Co-ordinate with Internal Department for maintaining sundry and GL accounts
  • Monitor entries in 3 sundry collection accountsand settle as per timelines
  • Co-ordinate with Reconciliation Unit to settle the outstanding entries
  • Prepare monthly reconciliation report for sundry accounts
  • Reconcile other Admin Sundry & GL account on a monthly basis with CAD statement / Balance

Managing Staff Parking of Owned Buildings 

  • Manage staff parking in all owned building co-ordinate with all Business Units for smooth functioning of parking.
  • Provide staff parking per eligibility to staff located in owned buildings
  • Cancel parking access for resigned staff
  • Maintain updated data base of parking

Manage All 3rd party related (Outside Tenant related )Financial / Sales activities of Head Quarters.

  • Coordinate with Tenants of Head Quarters building for collection of Rent, and all charges
  • Verify all Tenancy Contract documents, received from MBHQ management team, laisse with Admin management team for contract approval and keep all documents in safe custody. 
  • Calculate all tenant’s chilled water consumption on a monthly basis as per building chilled water reports received from Asset Management Unit
  • Prepare periodic reports relating to HQ buildings
  • Co-ordinate with CAD for proper booking of all payment received form tenants.
  • Maintain updated MIS of Head Quarters Building

Key Result Areas:

  • Manage all tenants related activities of all Owned buildings of Mashreq.
  • Guide Property unit staff to ensure that all Unit related functions and going smoothly. 
  • Co-ordinate with Internal departments for all property unit related issues
  • Ensure that all related documents are in place for all tenants as per SOP
  • Ensure all amounts in including rent and other charges are collected from tenants and co-ordinate with Unit Processor for any dues from tenant
  • Prepare period reports to CAD to book all tenants related collections.
  • Maintain updated MIS of property related.
  • Promote and ensure high level customer service and client care.
  • Ensure to follow SOP for Property related transactions 
  • Manage all Owned building parking and maintain updated records
  • Manage all Sundry / GL Accounts and perform periodical reconciliations 
  • Monthly Exception report for property Management submission on time 
  • Manage Owned property Ownership Documents
  • Attract new tenants and maintain good occupancy level in all owned property. 
  • Proactively action all process and spread awareness to the tenant of all process to avoid conflict with tenants

  • Appropriate coordination with external and internal customers. 
  • Extended support services towards All Groups and Department for staff parking
  • Extend high level customer service with External Tenants in Mashreq owned buildings , 
  • Ensure the unit to proactively communicate with external tenants for renewal of contracts and release of payment on time
  • Opportunity to work with individuals from across a wide geographic and culturally diverse environment

Problem Solving:

  • Conflict resolution between external tenants and Mashreq Management for   Issues that are raised to be resolved in a timely manner.
  • Proactively approach tenants and solve their issues to avoid issues to raise management

  • Adhere to SOPs for Property and Finance related
  • Avail approval as per authority for any deviation.
  • Complete knowledge and understanding of banks internal policy and procedure
  • Adhere to Standard Operation procedure of safety and security 
  • Expected to have a high level of problem-solving ability using tools and alternatives readily at hand
  • Expected to make Operational level Decisions quickly and confidently but will Always have a managerial Role working alongside

 

  • Should possess various skills including:
  • Excellent communication skills to communicate with external and internal
  • Planning and organization to submit MIS on time
  • Time management and prioritization
  • Excellent Computer skills , Microsoft MS word , Excel , PPT ,Graduate with a minimum of 5-7 years experience in Property management Banking sector  
  • Skills to prepare various Property and other MIS 
  • Very good knowledge in English Spoken and written language
  • Excellent organizational and time-management skills
  • Problem-solving attitude and analytical thinkin Relationship building skills internal and external.
  • Excellent Work ethic with high standard of punctuality and presentation
