The Department of Political Science and Public Service (PSPS) Administrative Associate II manages the department’s office, provides clerical support for PSPS programming, supervises a student worker, manages the departmental budget, manages the flow of information between the department and the university’s various information management systems (including financial, procurement, HR, travel, faculty records, space scheduling, course scheduling, IT, inventory, and facility maintenance), and completes other duties assigned by the Department Head to support the department’s instructional, student development, scholarship, and professional service functions.

  • Manages PSPS information in the university’s information management systems (financial, procurement, HR, travel, faculty records, space scheduling, course scheduling, IT, inventory, and facility maintenance); maintains financial ledgers for each PSPS account, reconciles ledgers monthly; produces reports for the Department Head to support administrative decision-making
  • Assists with planning and executing PSPS meetings and events
  • Responds to email and phone inquiries; greets and assists visitors to the department, Monday through Friday, 8:00 a.m. to 5:00 p.m.
  • Provides clerical support to the PSPS Department Head
  • Engages in ongoing professional development to better meet the requirements of the position and to meet university and state training requirements
  • Maintains office supplies, informational materials, promotional items, and other PSPS property
  • Supervises student worker

The ideal candidate will possess the following: 

  • Excellent written and oral communication skills
  • Basic MS Word and Excel skills and ability to acquire proficiency with complex information management systems
  • Ability to produce and interpret standard financial management reports
  • Ability to manage time and detailed tasks independently with frequent interruptions

Minimum Qualifications: 

  • High school diploma or GED
  • 3 years’ experience in a clerical or customer service role requiring managing multiple tasks and interfacing with information management systems

Preferred Qualifications: 

  • Certified Administrative Professional or equivalent certification
  • Responsibility for budget management and reporting
  • Clerical experience in higher education
  • Skill in using UT’s financial management system or similar Oracle cloud platforms
  • Advanced MS Word and Excel skills
