Clinical Systems and Education Specialist
FLSA Classification: Exempt
Reports to: Director of Operations
Summary/objective:
The Clinical Systems and Education Specialist is responsible for implementing all educational and clinical operations within the organization. This includes providing expert support for the Electronic Medical Record (EMR) system, supporting development of, and managing educational content, ensuring compliance with training programs. They will also be responsible for the design, implementation, and maintenance of clinical and educational programs, including but not limited to Learning Management System (LMS) training, nurse education, orientation sessions, and preceptor programs. The role will require collaboration with leadership teams, clinical directors, and staff to ensure operational efficiency, staff development, and regulatory compliance.
Essential Functions:
Education and Training Development:
- Develop and create handouts, LMS modules, and other training materials as required.
- Create LMS modules for policy signatures, onboarding, annual requirements, and compliance-based education, including survey responses.
- Ensure attendance records are kept up-to-date for all training sessions.
Compliance and Orientation Management:
- Participate in clinical staff orientation sessions, ensuring new staff have the education and tools needed to be productive.
- Work with Clinical Directors (CDs) to ensure staff members complete necessary orientations and training sessions.
- Regularly review and update orientation checklists and annual requirements to maintain compliance.
Business-Wide Education:
- Lead the creation of bi-monthly education curriculum for nursing/clinical staff, based on priority and urgency.
- Ensure annual skills competencies are maintained and up-to-date, and track progress with local CDs to ensure successful completion.
- Support preceptors through periodic check-ins and manage monthly preceptor meetings.
- Assist with leadership seminars and collaborate on curriculum development for ongoing leadership education programs.
EMR Expert Support:
- Provide phone, email, and Teams support to all teams for EMR-related needs.
- Assist in resetting passwords and addressing system issues as they arise.
- Support EMR system customization, including updates to service codes, care plan bases, and other necessary adjustments to improve documentation compliance and efficiency.
- Provide guidance on EMR and IT functions through educational materials and resources available on the education site.
- Help staff navigate EMR and provide additional training and troubleshooting as needed.
LMS Management:
- Design and maintain course content for LMS platform and ensure regular updates.
- Develop and manage the orientation and annual training plans, including user management and periodic review of LMS users.
- Reset failed exams and passwords for staff as necessary and respond to training inquiries.
- Address emails received through the website’s Contact Us section, including inquiries related to billing, volunteer opportunities, and patient needs.
SharePoint Management:
- Manage and update the LeaderHub, Compliance, and Education sites to ensure content is current, logically organized, and accessible to all relevant staff.
- Provide training and logistical support to staff who manage SharePoint sites for their departments.
- Offer specialized assistance for Chaplain, Social Work, and Volunteer Coordinator sites, ensuring consistent content updates and availability.
Collaboration and Support:
- Work closely with Clinical Directors, nursing staff, and leadership teams to assess training needs and deliver appropriate educational support.
- Offer guidance to preceptors and new nurses, including periodic check-ins to assess needs and provide mentorship.
- Ensure all employees, especially those new to the organization, have the tools and knowledge to succeed through continuous training and support.
Supervisory responsibilities: This position does not involve any direct supervisory responsibilities.
Budgetary/Fiscal Responsibility: Responsible for using resources wisely to support cost-effective operations.
Compliance Responsibility: As an essential function, this position is responsible for complying with the Compliance Program as it applies to the individual job duties, the department, and the company. This position will exercise due diligence to prevent, detect, and report unlawful and/or unethical conduct by fellow co-workers, professional affiliates, and/or agents.
Policy and Procedure Interpretation and Development: Responsible for complying with all company and clinical policies and procedures. Participates in audit process as requested to ensure compliance with policies and procedures. Maintains confidentiality of privileged information and supports the employee’s and patient’s right to privacy.
Work Environment/Schedule/Travel: Primary telecommuting position with availability during core business hours. Willing to travel on an intermittent basis to facilities both in and out-of-state. Overnight travel may be required. Individuals in this role must live/work within the company’s existing footprint.

Requires sitting and standing associated with an office environment as well as stooping and bending to file and maintain orderliness, mobility to complete errands. Must be able to function with frequent interruptions, accept change and able to prioritize activities when faced with competing demands.
Education and experience:
- Bachelor’s degree in Nursing, Education, Healthcare Administration, or related field required; Master’s degree preferred.
- Minimum of 5 years of experience in education, clinical operations, or related field within healthcare.
- Strong knowledge of EMR systems (specifically Netsmart or My Unity) and related training platforms.
- Proven experience in developing and managing training programs, including both in-person and online education.
- Knowledge of healthcare compliance requirements and regulatory standards.
License/Certification:
- Current RN or LPN nursing license with no encumbrance
- Valid Driver’s license
- Current automobile insurance
- Strong preference for candidates that live in our service area (CO, KS, MO, OK)
Other Job Requirements:
- Strong organizational skills and attention to detail, with the ability to manage multiple tasks and deadlines.
- Strong verbal and written communication skills are essential for interacting with colleagues, clients, and stakeholders.
- Experience with Microsoft Office products such as outlook, word and excel.
- Flexibility to adjust to changing priorities, tasks, and environments.
