Duties and Responsibilities:
Work Habits (35%)
• Providing outstanding service to students and other internal and external customers.
• Examining and evaluating student academic records to determine appropriate course credits.
• Maintain College Source-TES Transfer Evaluation System' database.
• Maintain/Process AP, CLEP, and other credit for prior learning.
• Recording transfer articulation and course approvals in Banner, CAPP, and elsewhere.
• Verifying the accuracy of student transcripts through evaluation of data.
• Processing requests for student transcript preparation and dissemination.
• Assisting with data entry for projects as assigned.
• Ability and endurance necessary to work the hours needed to complete the job.
• Guarantees and ensure a check of legacy records to remove conversion holds.
• Scan transcripts on daily basis.

• Communicating regularly with prospective, current, and former students, deans, faculty, advisors, and other internal and external constituents.
• Demonstrating a high level of interpersonal skills to handle sensitive and confidential situations.
• Predictable and reliable attendance is required in order to provide consistency and continuity of educational services.
• Attendance at all mandatory meetings.
• Performing other duties as assigned.
• Maintain confidentiality of student records in accordance with FERPA and other privacy laws.
• Required to maintain current in the required fields of professional expertise and competencies by participating in training, workshops, and industry recognized publications.
Institutional Support (20%)
• Maintaining transfer articulation databases with an understanding of program and credential requirements.
• Assisting the Registrar with program development and strategic planning, and monitoring priorities and progress towards the Department’s goals.
• Assist with orientation, registration and other events relating to transcript, registration, and other registrar functions.
• Maintain/Submit website edits and other communication pieces to support registrar processes.
• Create/Maintain a detailed training and procedures manual for transcript data evaluation and entry.
• Oversee and maintain Master Syllabus Database.
Team Relations (20%)
• Working independently within a team on special and ongoing projects.
• Coordinate with Admissions, Advising and Financial Aid and related office to support transcription, completion, and registration.
• Communicate and work closely with academic departments to include program directors, chairs, deans and VCs for course description reviews, special student requests, articulation agreements, as it relates to evaluation of credit.
Required Education:
Associate degree from a regionally accredited institution. Two (2) years of professionally comparable experience may be substituted for the required degree.
Required Experience:
Three years experience in which clerical work was a major duty.
Required Knowledge, Skills and Abilities:
Language Skills: Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public. Must be able to demonstrate the proven abilities of intellectual reasoning, power of persuasion, and consistent
dedication to the position.
Mathematical Skills: Ability to work with mathematical concepts such as probability and statistical interference, and fundamentals of plane and solid geometry and trigonometry. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
Reasoning Ability: High Skills: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
Computer Skills: Knowledge of Microsoft Office software (Outlook, Excel, PowerPoint, and Word). Ability to learn to operate College-specific software and applications.
Other Qualifications: Ability to establish priorities and meet deadlines. Must be able to work in a fast-paced environment with a demonstrated ability to multi-task.
