Odyssey House is seeking an Admissions Scheduler to join our Admissions team!

Location: Salt Lake City


Compensation: $40,000/salary


Schedule: Monday - Friday: 9 am - 5 pm

 Position Overview:
 

The Admissions Scheduler plays a pivotal role in the seamless coordination of client admissions and bed assignments at Odyssey House. This position ensures efficient, accurate, and client-centered scheduling by actively managing bed availability, overseeing waitlist processes, and maintaining strong communication with internal teams and external partners.


The ideal candidate is highly organized, detail-oriented, and skilled at multitasking in a fast-paced environment. They bring strong communication, critical thinking, and scheduling expertise to support client care while maintaining professional boundaries, offering constructive feedback, and ensuring accurate program knowledge. This role directly contributes to providing timely access to care and a smooth operational flow across the Client Engagement Team.


Key Responsibilities:


Scheduling Management:

  • Develop and maintain a robust scheduling system for client appointments.
  • Manage waitlists efficiently to reduce client wait times.
  • Coordinate with various departments to ensure seamless scheduling of appointments.
  • System Implementation:
  • Implement a new scheduling and waitlist management system.
  • Train staff on the new system and ensure it integrates smoothly with existing workflows.

Client Relations:

  • Communicate with clients to confirm appointments and manage any scheduling conflicts.
  • Deliver exceptional customer service to exceed client satisfaction consistently.

Data and Reporting:

  • Monitor and analyze scheduling data to identify areas for improvement.
  • Provide regular reports on wait times and scheduling efficiency to management.

Collaboration:

  • Work closely with program directors, outreach teams, and other key stakeholders.
  • Ensure that scheduling practices align with agency goals and client needs.

Continuous Improvement:

  • Stay updated with best practices in scheduling and waitlist management.
  • Propose and implement improvements to the scheduling system as needed.

Requirements


Education and Experience:

  • High school diploma or equivalent required; associate's or bachelor's degree preferred.
  • Experience in scheduling, administrative support, or customer service, preferably in a healthcare or social services setting.

Skills:

  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal skills.
  • Proficiency in scheduling software and Microsoft Office Suite.
  • Ability to work independently and as part of a team.

Physical Demands of the Job: Ability to lift up to 15 lbs., drive (or adequate alternate transportation), sit for prolonged periods, and perform light to moderate physical activity at times.
